Lobby Appearance

  • Front Desk Personnel are responsible for maintaining a pleasant, clean, and businesslike appearance.

Guest Activity

  • The Front Desk Personnel will provide visitors, contractors, guests, and callers with professional, courteous, and prompt assistance.
  • Ensure everyone who enters the premises possesses a Rubrik badge (i.e., Employee, Temporary, Vendor, Guest Badge).
  • Make sure visitors sign in using the visitor management system and complete the NDA (Non-Disclosure Agreement).
  • The Front Desk Personnel is responsible for notifying employees or contractors that they have guests waiting for them in the lobby.
  • Manage commute and parking-related questions and concerns.
  • Prompt response to slacks and emails.
  • Provide resolution and forwarding of voicemails and concerns.
  • Assist with mail and other deliveries throughout the day.

Administrative & Workplace Solutions Support

  • Assist Facilities with special projects.
  • Update Building fob sheet when building security delivers them. Deliver them to the employee.

Safety & Security

  • Lobby Personnel will ensure security policies and procedures are strictly enforced.
  • Monitor security cameras and keep the global security operation center informed of issues.
  • Manage Badging Program and communicate with HQ if any assistance is needed.
  • Comply with employee Temporary badge policies.
  • Maintain all key logs and ensure lobby cabinets, doors, and lockbox are secure at the end of the day.
  • Assist with all access control issues.
  • Conduct Quarterly Access Control Audits.
  • Work with the Workplace team on parking for special events.
  • Maintain lobby emergency reference information.
  • Understand evacuation protocols and assist the Emergency Response team.
  • Assist with annual building fire drills.
  • Assist with Annual Risk Assessment Process.
  • Conduct daily pass downs to the GSOC.
  • Manage facilities tickets as assigned.

Qualifications

  • Minimum of 2-5 years Receptionist related experience preferred with knowledge of commonly used Office Services procedures.
  • 1-3 years' experience with Microsoft Office Software (Word, Excel, etc.).
  • Excellent customer service skills; must possess a "can do" attitude.
  • Excellent communication skills both verbal and written.
  • Ability to effectively work individually or in a team environment.
  • Competency in performing multiple functional tasks.
  • Attention to detail.
