Job Description
Provide a courteous and efficient service to the pupils, parents and visitors.
- Answer the main School telephone promptly and politely, directing calls to the appropriate extension or by taking a message.
- Welcome all visitors in a pleasant manner, ensuring that all visitors sign in and are issued with a visitor’s badge before being met by the relevant staff member. Make tea/coffee for visitors as and when required.
- Keep the reception and foyer area tidy and presentable so as to give the best possible first impression of Leweston School to visitors.
- Manage the ‘Admin’ email box, deleting all junk mail and redirecting any important emails as appropriate.
- Using Outlook, assist with the booking of rooms for meetings/functions.
- Support the school secretary with daily registration using iSams, (checking for absence requests from parents on the portal or via email) and locate any missing pupils in accordance with the Missing Pupils Policy.
- Update the Parent Portal with events, activities, documents, parent letters, menus at the request of the School Secretary.
- Regularly check SendGrid for email bounces.
- Ensure that the First Aid posters on display behind the reception desk are always the most up-to-date.
- Regularly update the staff and department telephone lists.
- Regularly update the Fire Register lists to reflect current student form groups.
- Sort and allocate all incoming mail and parcels and frank outgoing mail, recording the collection of all exam papers.
- Assist with the School Uniform Shop, either with parent appointments and sales or with parents collecting online uniform orders.
- General administrative duties e.g. filing/photocopying.
- Operate in accordance with school’s policies and procedures as detailed on the school’s website and intranet and as set out in the Staff Handbook and elsewhere, ensuring compliance with the School’s Code of Conduct, the Safeguarding Policy and Child Protection procedures, the school’s Health and Safety policy and the Health and Safety at Work Act.

Desired Criteria
- Previous experience in a school or educational setting.
- Experience using iSAMS or similar school management systems.
- Knowledge of attendance, safeguarding or pupil administration processes.
- Experience managing databases, websites or parent communication platforms.

Essential Criteria
Qualifications & Experience
- GCSE English and Mathematics (or equivalent) at Grade C/4 or above.
- Previous experience in a customer-facing, reception, administrative or office support role.
- Competent user of Microsoft Office applications, particularly Outlook, Word and Excel.
Knowledge & Skills
- Excellent communication and interpersonal skills.
- Professional and welcoming manner when dealing with pupils, parents, visitors and colleagues.
- Strong organisational skills and attention to detail.
- Ability to manage a varied workload and prioritise tasks effectively.
- Good IT skills and confidence learning new systems.
- Ability to maintain confidentiality and handle sensitive information appropriately.
