Overview

Reporting to the Head of Office Operations, the Front of House Concierge carries out a very important role within the business. As the first point of contact for all visitors into the Publicis Media offices, this role acts as an ambassador for the Brands and Publicis Media as a whole.

The concierges are responsible for managing both the visitor and staff experience which is a key focus. As our Front of House representatives across multiple floors, the concierges are responsible for ensuring the experience that all clients and guests have is positive when visiting the offices.

All concierges will be responsible for the efficient running of their floors and will be regularly looking to improve ways of working to flex with the business requirements.

Key Responsibilities

  • Ensuring a seamless visitor experience at all times and always seeking ways to improve the service you are providing.
  • Welcoming guests and staff at reception in a friendly and attentive manner.
  • Booking in all visitors for your floor with the Building Management Reception in a timely and efficient manner.
  • Providing support to internal and external stakeholders as the front of house point of contact on your designated floor.
  • Communicating any key messaging across your floors and maintaining an accurate distribution list.
  • Liaising with hospitality, facilities and staff to ensure all meetings taking place on your floor are accurately booked, set up, and any food and beverage requests are delivered.
  • Escorting guests to their booked meeting rooms and ensuring they are aware of any facilities they may require during their visit.
  • Ensuring meeting room AV is functioning at the beginning of each day and supporting the set up of AV equipment to internal meeting rooms.
  • Build strong relationships with the other floor concierges and the PA community to ensure efficient building wide communication and guest service is provided by this 'one team' approach.
  • Arranging courier bookings for your floor and working with the dispatch team for any post/deliveries.
  • Managing the Media Owner Hot desking incentive on your designated floors and keeping accurate records of all attendees.
  • Assisting in the logistics of any events taking place on your floor.
