Receptionist - The Lodge Care Home

Contract: Part-time, Permanent
Shifts: 7.5 hour shift every Sunday, with the availability to cover annual leave and sickness Monday-Saturday

About The Role
We are seeking an outstanding Receptionist to provide ‘first line’ reception and administrative services for the Home. Working alongside our business support team, you’ll help create a safe, engaging and comfortable environment where residents can thrive. You will:
- Play a key role in the communications by handling calls quickly and efficiently and ensuring all messages are dealt with promptly.
- Ensure total security of the building by identifying all visitors, ensuring that visitors are checked in and out of the building and that the Visitors’ Book is completed.
- Control the procedure for the signing in and out of all keys to members of staff.
- Open and date stamp incoming post.
- As required, manage diaries for General Manager, Clinical Care Manager, Head of Care and Business Support Administrator.
- Take responsibility for directing deliveries; checking against the correct documentation and checking codes for invoices to send to Headquarters.
- Take responsibility for the booking of various rooms and functions, e.g. guest rooms, seminar rooms, etc.
- Prepare invoices for residents and guests and ensure payment of same before guests depart.
- File as required.
- Order newspapers on behalf of residents and arrange for collection of payments.
- Take responsibility for initial enquiries, complete enquiry form and pass all information to General Manager.
- Provide Secretarial services to the General Manager and the senior members of the Home Team as required.
- Book and receive payments for meals for staff and visitors.
- Assist the Business Support Administrator in his/her function as required, and cover in absence.
- Order stationery, control stock, issue as requested and monitor against stationery budget keeping the Business Support Administrator informed.
- Assist in fundraising activities as required from time to time.

Qualifications & Skills
- Secondary education
- General office administration with proficiency in the use of IT, especially in relation to spreadsheets; database and word processing.
- Ability to work on own initiative.
- Good team player
- Calm, professional and mature approach.
- Excellent written and verbal communication skills.
- Empathy with older people.
