The Role
This is a pivotal front-of-house role at LawDeb. As the first point of contact for all clients, visitors, and callers, you will be the face of Law Debenture — setting the tone for every interaction and ensuring that every person who walks through our doors or contacts us receives a professional, warm, and seamless experience.
We are looking for an experienced, self-starting receptionist who takes genuine ownership of the front-of-house function, proactively solves problems, and brings a calm, polished presence to a busy professional environment.
Principal Duties
Front of House & Client Experience
- Serve as the professional face of LawDeb, providing a warm and polished first impression to all clients, guests, and visitors
- Manage and prepare client meeting rooms, coordinating bookings, AV/IT setup, and room readiness via the Condeco system
- Organise and collect client lunches; provide refreshments to guests and ensure a seamless hospitality experience throughout
- Support the setup and logistics for internal and client meetings and events
- Pre-register all visitors on the Bluepoint system and ensure security and visitor management protocols are followed at all times

Switchboard & Communications
- Manage the switchboard, answering and triaging all incoming calls with professionalism and efficiency
- Handle general enquiries and direct calls, emails, and visitors to the correct teams promptly and accurately
Post & Correspondence
- Manage all incoming and outgoing post with a high level of care and attention to detail
- Identify and immediately escalate time-sensitive legal documents — including served legal documents — to the correct team as a matter of urgency
- Book and coordinate couriers; liaise with the post room for distribution
Facilities & Administration
- Support on facilities-related tasks as they arise, using initiative to resolve issues quickly and effectively
- Take overall ownership of the smooth day-to-day running of the office, proactively identifying and resolving issues before they escalate
- Manage weekly office supply ordering, including milk, fruit, biscuits, teas, and other kitchen essentials, ensuring the staff kitchen is always well stocked
- Maintain adequate stationery levels through regular stock takes and timely reordering
- Manage relationships and scheduling with external service providers including cleaners, the plant company, and office equipment suppliers
- Act as a point of contact for facilities and building queries, escalating to the appropriate parties where required
- Restock meeting rooms and the staff kitchen on an ongoing basis

New Joiners & Leavers
- Lead the office induction for all new joiners, ensuring they receive a comprehensive and welcoming introduction to the office, facilities, and day-to-day processes
- Coordinate new joiner setup including building access passes and locker allocation, ensuring all records are accurately maintained on the relevant systems
- Manage the leaver process, collecting locker keys and access passes, and promptly updating systems to remove access — ensuring security protocols are maintained at all times
Essential Knowledge, Skills and Experience
- 1-3 years' experience in a front-of-house receptionist or senior administrative role, ideally within a professional services, financial services, or corporate environment
- A natural self-starter who takes initiative and ownership without needing to be directed
- Excellent problem-solving skills — able to think on your feet and remain composed under pressure
- Experience with or exposure to facilities management tasks is highly desirable
- Exceptional interpersonal skills and a professional, polished manner at all times
- Outstanding telephone manner and customer service skills
- Keen attention to detail — especially important when handling correspondence and legal documents
- Highly organised and dependable, with excellent time management
- Proficient in Microsoft Office Suite; experience with Condeco, Bluepoint advantageous
- An effective communicator across all levels of the organisation
Hours
Work on a shift of either 8-4 or 9.30 -5.30 (shifts decided with other Front of House team member) Monday to Friday with 1 hour lunch break.
