Owen Beattie Solicitors is an established Belfast-based law firm seeking an experienced Receptionist/Personal Assistant to act as the first point of contact for its clients and support the smooth day-to-day running of the firm.
This role would suit a highly organised, friendly and dependable individual with several years' experience in a receptionist, customer service, administrative or PA role. The successful candidate will be responsible for answering and directing telephone calls, welcoming clients, managing appointments and correspondence, and providing administrative support to the Managing Director and wider team.
Legal experience is not required, although previous experience in a professional office environment would be advantageous.

Responsibilities
- Handle incoming calls, emails and enquiries in a professional and efficient manner.
- Act as the first point of contact for clients, visitors and third parties.
- Provide administrative support to the Managing Director, including diary management and coordinating meetings.
- Liaise with clients and third parties to arrange meetings, calls and appointments.
- Manage client onboarding and new client administration.
- General office administration, including scanning, photocopying and file management.
- Maintain office supplies and assist with the day-to-day running of the office.
- Provide administrative support to the wider team as required.
Candidate profile
- Previous experience in a receptionist, office administration or PA role (legal experience is not required).
- A proactive and positive approach, with the ability to use initiative and work independently.
- Strong organisational skills and the ability to manage competing priorities.
- Proficiency in Outlook, Microsoft Word and Excel; experience of a case management system would be advantageous.
- Excellent communication and customer service skills, with a professional telephone manner.
- Audio typing experience would be desirable, but is not essential.
- A professional, discreet and trustworthy approach to handling confidential information.
