Records Manager
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Records Manager based in United Kingdom.
This is a flexible, fractional opportunity for an experienced records, compliance, or information governance professional to establish and manage a controlled archive and knowledge-review system.
You will play a critical role in determining what information should be preserved, how records are tracked, and what material is ready for entry into a governed knowledge environment.
The role combines meticulous records management with responsible use of approved AI tools to accelerate classification and inventory processes.
Your judgment will remain central, with every significant AI-assisted decision requiring human verification and careful review.
You will work independently, identify risks early, and ensure sensitive information is handled with exceptional discretion.
This position is particularly suited to someone who values accuracy, accountability, and strong information governance practices.
The engagement is structured as an 8-week pilot with up to 8 hours per week, offering meaningful work without a full-time commitment.
Accountabilities
- Receive, preserve, organize, and track the custody of authorized records and source files throughout the review and archival process.
- Review incoming information for sensitivity, ownership, completeness, and eligibility for admission into the governed knowledge environment.
- Use approved AI tools to accelerate information inventory, classification, and review while personally validating all material decisions before they are finalized.
- Identify and immediately escalate missing, corrupted, incomplete, sensitive, or otherwise high-risk records.
- Maintain accurate tracking of records, review decisions, outstanding items, and relevant risks.
- Apply sound professional judgment when determining whether information is suitable for preservation or further review.
- Provide a concise weekly report covering completed work, remaining backlog, key decisions, and identified risks.
- Help establish reliable processes and controls for a new or evolving records and knowledge-governance function.
- Escalate uncertainty or ambiguity rather than making unsupported assumptions, ensuring information is handled consistently and responsibly.

Requirements
- Professional experience in records management, information governance, compliance, audit, legal operations, or a closely related field.
- Exceptional discretion and demonstrated ability to handle highly confidential or sensitive information responsibly.
- Strong attention to detail and a high standard for accuracy, documentation, and records integrity.
- Comfortable working with AI-assisted tools and capable of identifying errors, limitations, or inappropriate recommendations produced by AI.
- Strong written communication skills, with the ability to document decisions, summarize findings, and communicate risks clearly.
- Sound judgment and a disciplined approach to escalating uncertainty, inconsistencies, and potential compliance concerns.
- Ability to work independently and manage responsibilities effectively within a limited-hours engagement.
- Experience establishing an archive, records-management process, or governance function from the ground up is a plus.
- Familiarity with legal holds, privacy requirements, cybersecurity practices, or related information governance controls is advantageous.
- Experience designing human-review controls or quality-assurance processes for AI-assisted workflows is a bonus.
- A mindset focused on accountability, precision, and preventing unverified information from becoming part of an official knowledge environment.
