We are looking for a highly motivated and agile Recruiting Coordinator to join the Microsoft AI Recruiting team in London, supporting recruiting across EMEA. This role is ideal for someone who thrives in a fast-paced environment, excels at multitasking, and demonstrates unwavering attention to detail. We are looking for someone fluent in the rhythms of AI and research hiring, who earns the trust of candidates and hiring teams quickly, and who is judged, happily, on results.
As a Recruiting Coordinator for MAI in EMEA, you will shape the experience of every candidate we meet in the region while the team hires the top AI talent in a market that changes by the week. You will deliver a seamless hiring process across multiple countries and time zones, partner closely with recruiters and hiring managers, remove roadblocks, and make informed decisions that keep objectives on track. This opportunity will allow you to build expertise in frontier AI and research hiring, work directly with senior technical leaders, and grow into the wider talent acquisition profession. The role is based in London and follows a hybrid pattern of three days per week in the office.

Responsibilities
- Own high-volume, complex interview scheduling across EMEA and multiple time zones, including panels that span Europe and the United States.
- Coordinate availability across candidates, interviewers, hiring managers, and executive office team, confirming details early and handling changes calmly and quickly.
- Deliver an upleveled candidate experience for senior researchers, engineers, and scientists, from first contact through onsite hosting and offer, so that every candidate leaves energized by their experience with Microsoft AI.
- Act as a trusted partner to recruiters and hiring managers, anticipating what they need before they ask and protecting their time for the work only they can do.
- Prepare interviewers with the context, materials, and briefing they need, and keep interview loops running on time.
- Maintain accurate, real-time records in the applicant tracking system, tracking interview stages, following up on feedback, and keeping data clean to report on.
- Support onsite and travel logistics for EMEA candidates, including visits to the London office, travel booking, and immigration or visa in coordination with the relevant partners.
- Uphold compliance and data privacy requirements across EMEA hiring, including UK GDPR obligations, while keeping the process efficient and candidate focused.
- Spot friction in the process, bring it to the team's attention, help to fix it, improve templates, workflows, and tooling so that the team gets measurably faster each quarter.
Qualifications
Required Qualifications
- Demonstrable experience in recruiting coordination, HR, or administrative roles, including high-volume interview scheduling. In Tech space.
- Experience coordinating recruiting in a technology, AI lab, or research environment, supporting technical or research hiring.
- Proficiency with scheduling tools and applicant tracking systems.

Preferred Qualifications
- Bachelor's degree in human resources, Business, Liberal Arts, Computer Science, Engineering, or related field or equivalent experience.
- Experience coordinating interviews across EMEA markets and multiple time zones, including candidate travel and immigration support.
- Experience supporting an AI frontier lab or research organization, and comfort with the vocabulary of AI, machine learning, and research roles.
- Startup or high-growth experience, with a track record of adapting quickly, managing competing priorities, and implementing efficient workflows in evolving business environments.
- Experience improving coordination processes or tooling, including the use of automation or AI assistants to reduce manual work.
- Ability to work from the London office three days per week.

- The typical base pay range for this role across United Kingdom is £ 42,000.00 - £ 71,900.00 per year. Certain roles may be eligible for benefits and other compensation.
