About Word360

Word360 is scaling fast, and our Recruitment team is the engine behind it. We're looking for a sharp, highly organised Recruitment Administrator to be the operational backbone of that engine — the person who makes sure nothing falls through the cracks, no candidate is left waiting, and no linguist's file is out of date.

You'll own the day-to-day administrative infrastructure of the team: managing inboxes, coordinating interviews, maintaining airtight records, and giving every candidate and linguist a first-class experience from their very first interaction with us. Responsibilities and Duties

  • Continuously look for small process improvements that make the team faster, cleaner, and more accurate.
  • Own the front line of the Recruitment team: field incoming calls and emails, triage queries with judgement, and route or resolve them so nothing sits unanswered.
  • Manage shared inboxes to a same-day response standard, escalating complex or time-sensitive queries to the right person immediately.
  • Keep candidate and linguist records complete, accurate, and audit-ready across all internal systems — the single source of truth the wider business relies on.
  • Prepare, process, and track onboarding documentation, chasing outstanding items proactively so compliance deadlines are never missed.
  • Coordinate interview and meeting schedules across multiple stakeholders, resolving diary conflicts before they become problems.
  • Monitor compliance and documentation status across the candidate pipeline, flagging risks before they become blockers.
  • Handle sensitive candidate, linguist, and company information with total discretion and professionalism at all times.

Skills and Attributes Required

  • 2+ years' experience in a fast-paced administrative or office support role, ideally within recruitment, HR, or a service-driven environment.
  • Exceptional verbal and written communication, clear, professional, and warm under pressure.
  • Sharp organisational instincts; you can juggle competing priorities without dropping the important ones.
  • Confident across Microsoft Office (Outlook, Word, Excel) and comfortable learning new systems fast.
  • Experience with CRM/ATS or similar database systems, with the discipline to keep records accurate across multiple platforms.
  • Meticulous attention to detail, the kind of person who catches the error before it becomes a problem.
  • Equally strong working independently and as part of a close-knit team.
  • A confident, professional telephone manner that reflects well on the business.
  • Strong time management and a genuine commitment to meeting deadlines.
  • Absolute discretion when handling confidential information.
