About the Role
As Recruitment Administrator at JD Healthcare, you will provide accurate, efficient and well-organised recruitment administration support across our multi-site organisation. Working closely with the HR and Recruitment Team, you will be a key point of contact for candidates and hiring managers throughout the recruitment process — managing the ATS, coordinating interviews, supporting pre-employment checks and ensuring new starters have a smooth onboarding experience. What You Will Do
- ATS management — Maintain and update TeamTailor day to day, including posting adverts, managing candidate pipelines, moving candidates between stages and keeping the system accurate and up to date
- Candidate communications — Send interview invitations, rejection notifications and other candidate-facing communications in a timely and professional manner
- Interview coordination — Schedule interviews across multiple sites, liaising with hiring managers and candidates to confirm arrangements
- Pre-employment checks — Coordinate all pre-employment checks required in a regulated healthcare setting — including right to work, references, DBS, professional registration and occupational health clearance — ensuring no one starts until checks are satisfactorily completed
- Onboarding — Prepare offer letters, contracts and contractual change letters, and coordinate onboarding and induction arrangements for new starters
- Job descriptions — Support the recruitment team and hiring managers to maintain accurate, up-to-date job descriptions in the correct format
- HR support — Provide general administrative support to the wider HR Team as required, contributing to the smooth running of the people function across the organisation.
- Reporting — Produce accurate recruitment data and reports as required including vacancy tracking, time to hire and pipeline metrics
- Compliance & audit — Maintain accurate recruitment records and support internal audits and regulatory inspections
- Continuous improvement — Keep recruitment templates, letters and process guides up to date and suggest improvements to make the recruitment function more efficient

What We Are Looking For

Essential
- CIPD Level 3 or above
- Previous experience in an administrative or coordination role — recruitment, HR or similar
- Hands-on experience of using an Applicant Tracking System (ATS) or similar platform
- Excellent attention to detail with a high level of accuracy
- Strong organisational skills with the ability to manage multiple priorities and meet deadlines
- Confident communicator with excellent written and verbal skills
- Discreet and professional when handling sensitive and confidential information
- Good IT skills including Microsoft Office — Word, Excel and Outlook
Desirable
- Experience in healthcare, fertility or another regulated sector
- Understanding of pre-employment checks required in a regulated environment
- Awareness of UK GDPR as it relates to recruitment data
- Experience of producing recruitment reports and tracking metrics
