Job Title: Recruitment & Compliance Assistant
Location: Remote (Portugal) – Teletrabalho, with occasional attendance at our Lisbon office
Department: People / Operations Support
Reporting to: Head of Recruitment Manager (UK)
Hours: Full-time (35 hours per week) (Monday to Friday)
IMPORTANT: Please apply only if you are fully fluent in English, with the ability to speak, understand and write confidently without difficulty, and if you also speak Portuguese.
Although this role is based in Portugal, you will work remotely primarily with the Delivery Mates UK team. You may occasionally be required to attend meetings, training sessions, open days or other operational activities in Portugal.
This is a high-volume recruitment role. You must be comfortable making and receiving dozens of calls with candidates every day, with most conversations conducted in English.
You will be expected to work towards clear recruitment KPIs, activity targets, conversion numbers and quality standards. This includes making a high volume of outbound calls, following up with candidates consistently and keeping the recruitment pipeline moving.

About the role
We are looking for a proactive Recruitment & Compliance Assistant to support high-volume hiring and workforce compliance.
Based in Portugal, you’ll work mainly remotely (teletrabalho) and occasionally attend our Lisbon office for open days, training coordination, document collection, or internal meetings.
You will keep our recruitment pipeline moving quickly; calling candidates, replying to emails/messages/WhatsApp, booking open days and classroom training and ensure every worker is compliant before starting work (Right to Work, Right to Drive, and document checks).

Key Responsibilities
High-volume recruitment coordination
- High-volume outbound calls to screen, engage, and progress candidates.
- Book candidates into open days and manage confirmations and attendance follow-ups.
- Schedule classroom training and onboarding; manage reminders and re-bookings.
- Maintain accurate candidate records and statuses in the ATS/tracking system.
- Provide daily/weekly pipeline updates (calls, bookings, show rates, starts, blockers).
Candidate communications (Email / WhatsApp / Messaging)
- Send and reply to candidate emails, messages, and WhatsApp promptly and professionally.
- Answer candidate questions about next steps, training dates, documents required, and start processes.
- Manage shared inboxes and message groups using clear templates and consistent communication.
- Re-engage no-shows and reduce drop-off through structured follow-ups.
Onboarding & document collection
- Collect, validate, and store required documents (ID, proof of address, licences, insurance where applicable, etc.).
- Ensure onboarding checklists are completed in a paperless environment.
- Chase missing documentation and unblock candidates quickly.
Compliance monitoring (Right to Work / Right to Drive)
- Monitor workforce compliance, including:
- Right to Work validity and expiry follow-ups
- Right to Drive checks (licence validity/expiry and required evidence)
- Maintain audit-ready compliance trackers and documentation.
- Escalate non-compliance risks to HR/Operations with recommended actions.

Internal stakeholder updates (vacancies & hiring needs)
- Liaise with Operations Managers and internal stakeholders to confirm vacancies, start targets, and priority roles/sites.
- Provide regular updates on vacancy status, pipeline health, expected starts, and risks.
- Coordinate start dates and deployment plans with Ops to meet service needs.
Office support (Lisbon – occasional)
- Attend the Lisbon office when required to support open days, training sessions, document checks, or internal meetings.
Requirements
- Experience in high-volume recruitment, recruitment coordination, HR admin, or operations support.
- Fluent in English and Portuguese (spoken and written).
- Confident communicator across phone, email, and WhatsApp; comfortable handling high message volume.
- Strong organisational skills and attention to detail; able to manage multiple candidates and deadlines.
- Comfortable using Excel/Google Sheets, cloud storage, and ATS/CRM systems.
- Proactive, calm under pressure, and reliable with follow-through.
- Based in Portugal and able to attend our Lisbon office occasionally.
- Stable internet connection and a professional remote setup.
Nice to have
- Experience recruiting drivers/riders or operational roles.
- Familiarity with Right to Work / Right to Drive checks.
- Experience organising open days and classroom training logistic.
