Workplace: White City, London - 2 days a week in the office

The role

Our Coordinators are the backbone of our Resourcing Team, providing excellent, compliant, and highly organised support in a fast-paced environment. Balancing exceptional time management with the ability to successfully spin multiple plates at once, you will cover a wide range of end-to-end administrative duties to support the full recruitment cycle.

From partnering closely with Hiring Managers to manage busy diaries and draft engaging adverts, to setting up roles in our ATS and delivering thoughtful candidate feedback, you will play a hands-on role in keeping our recruitment moving smoothly. Working collaboratively across the team, you will ensure Hiring Managers, candidates, and colleagues receive an outstanding, high-touch service experience that is efficient, compliant, objective, and fair.

Main responsibilities

Interview & Selection Coordination

  • Work closely with Hiring Managers to review their availability, proactively manage their diaries, and schedule interviews efficiently.
  • Keep Hiring Managers regularly updated on interview schedules, candidate confirmations, and logistics.
  • Arranging and coordinating interviews end-to-end (working across candidates, colleagues, and Hiring Managers), ensuring the system is updated throughout the entire process.
  • Checking Right to Work (RTW) and salary expectations of all candidates at interview stage, ensuring these are securely stored and recorded correctly.
  • Assisting with entry-level schemes, including shortlisting candidates, helping facilitate assessment centres, and attending sessions to support our Early Careers Manager during busy periods.

Requisition, ATS & Campaign Setup

  • Set up new vacancies within the ATS (Fusion) ready for posting, including adding relevant candidate screening questions.
  • Establish and organise candidate/requisition folders to ensure consistent record-keeping.
  • Draft engaging job adverts aligned with brand guidelines and job specifications.

Candidate & Stakeholder Management

  • Deliver a warm, professional welcome to all candidates, reinforcing a positive employer brand throughout their journey.
  • Handle queries from both candidates and Hiring Managers effectively, efficiently, and within established SLAs.
  • Draft and deliver constructive feedback to unsuccessful candidates promptly.
  • Manage our recruitment inbox to ensure all candidates receive a prompt reply.

Compliance & Operational Support

  • Utilise all standard email templates, SLAs, and operational guidelines to ensure compliance, consistency, and best practice across the recruitment function.
  • Conducting regular compliance spot checks across recruitment folders to ensure all necessary documentation including completed interview scripts is accurately filed, proactively following up with recruiters to address any missing records and uphold full compliance.
  • Raise Purchase Orders (POs) and manage team travel arrangements as required.
  • Organise team meetings, events, manage logistics, and handle general ad-hoc administrative duties to support the wider team.

Talent Attraction & Employer Brand

  • Contribute creative ideas to the overall talent attraction strategy.
  • Support social media activity by posting job adverts, sharing team updates, and publishing content to boost engagement.

Skills you’ll need (minimum criteria)

  • Proven experience working within a recruitment coordination role, ideally gained within a fast-paced or dynamic environment.
  • Demonstrated experience managing multiple tasks and competing priorities simultaneously, with the ability to remain effective when handling a high volume of incoming requests.
  • Ability to deal with situations calmly and effectively while maintaining accuracy throughout.
  • Exceptional time management and organisational skills, with a highly structured and meticulous approach to administrative detail.
  • Experience in a customer-service-focused environment, with a strong track record of building positive relationships and supporting a wide range of stakeholders.
  • Excellent written and verbal communication skills, with the ability to interact professionally with candidates and colleagues at all levels.
  • A demonstrable passion for TV, ITV programming, and our role at the heart of popular culture.

Other things we’re looking for (key criteria)

  • Experience using a recruitment candidate database or application workflow system (ATS).
  • Good stakeholder management skills, with the ability to flex your style to stakeholders at varying levels.
  • Strong understanding of recruitment compliance, relevant legislation, and the operational impact of non-compliance.
  • Demonstrated ability to treat sensitive information with the utmost confidentiality.
  • Previous experience using Google Workspace (Gmail, Docs, Sheets, Calendar, Drive).
