Overview
The Regional Dispatcher and Transportation Fleet Manager is responsible for coordinating the dispatch and delivery of rental equipment and merchandise across Milton Rents’ New York locations (Rochester, Dansville, Ithaca, Auburn, and Syracuse) while providing exceptional customer service and sales support. This role ensures timely and accurate scheduling of deliveries and pick-ups, maintains full compliance with DOT and related regulations, and oversees key transportation fleet administrative functions. The position works closely with Drivers, Sales Representatives, Branch Managers, and Operations leadership to deliver superior customer satisfaction, operational efficiency, and consistent fleet readiness across the region. The Regional Dispatcher and Transportation Fleet Manager will play a critical role in ensuring Milton Rents delivers unmatched customer service through efficient dispatch operations and a well-managed, compliant transportation fleet.
Pay: $70,000 - $85,000. This is a salaried position and is bonus eligible.

Responsibilities
- Plan and oversee the dispatch of CDL Class A and B Drivers, ensuring real-time coordination and communication across all New York locations.
- Schedule and confirm equipment and merchandise deliveries and pick-ups through direct collaboration with drivers, branch teams, and operations staff.
- Use Texada, Samsara, and related systems to route equipment, manage dispatch logistics, monitor daily fleet progression and fleet statistics, and support efficient daily operations to ensure visibility, performance tracking, and timely decision-making.
- Organize and prioritize daily dispatch activities in close coordination with field and branch staff.
- Promote a safe and fully DOT-compliant work environment, supporting drivers and service teams.
- Collaborate with operations and sales teams to align on customer needs, equipment availability, and delivery schedules.
- Assist with fleet acquisitions and disposals.
- Manage vehicle registration processes.
- Assist with HUT and IFTA compliance and reporting.
- Coordinate and track required vehicle and equipment inspections.
- Obtain and manage overweight permits as needed.
- Administer Bestpass, fuel cards, and related fleet support tools.
- Support continuous improvement of dispatch and fleet processes to enhance efficiency and customer service across the region.

Qualifications
- 3+ years of dispatching experience in a relevant industry; regional or multi-location experience preferred.
- Experience managing transportation fleet administrative functions (registration, permits, compliance, fuel/toll programs) strongly preferred.
- 1+ years of inside sales or customer service experience preferred.
- Valid and active driver’s license required.
- Experience in construction or equipment rental industries strongly preferred.
- Bachelor’s degree preferred.
- Knowledge of construction equipment is a plus.
- Familiarity with DOT, HUT, IFTA, and related compliance requirements preferred.
Skills & Competencies
- Excellent customer service and communication skills.
- Strong organizational, prioritization, and time-management abilities.
- Ability to multitask and thrive in a fast-paced, multi-location environment.
- Proficiency in Microsoft Office and ERP systems (experience with Texada and Samsara preferred).
- Familiarity with GPS, routing, and navigational tools.
- Knowledge of local and regional geography across New York.
- High attention to detail and commitment to regulatory compliance.
- Fluent in English, both written and verbal.
- Collaborative mindset with the ability to work effectively with drivers, branch teams, and leadership.

Working Conditions
- Primarily office-based with regular interaction across multiple branch locations.
- PPE required outside of office/parking lot areas.
- Occasional lifting up to 25 lbs; may assist with loading/unloading equipment as needed.
- Extended periods of sitting, standing, bending, and stooping.
- Must be able to travel between New York locations as required.
