Job Summary

Position title: Regional Facilities Associate

Reports to: UK & ROI Facilities Manager

Job Description

The Regional Facilities Associate supports the effective delivery of facilities management across a defined region of UK stores. This role ensures stores are safe, compliant, fully operational, and maintained to brand standards.

Working closely with the Facilities Manager, Operations teams, and external contractors, you will coordinate reactive and planned maintenance, monitor contractor performance, manage compliance documentation, and support cost control across the regional estate.

Key Responsibilities

Regional Facilities Support

  • Support the management of all facilities services across the allocated region.
  • Conduct regular site visits to ensure brand and maintenance standards are upheld.
  • Identify and escalate recurring maintenance issues.
  • Assist in developing regional maintenance strategies.

Planned & Reactive Maintenance

  • Oversee reactive maintenance jobs to ensure timely resolution within SLAs.
  • Coordinate planned preventative maintenance (PPM) schedules.
  • Ensure minimal disruption to store trading operations.
  • Track remedial works to completion.

Contractor & Supplier Management

  • Liaise with approved contractors and service providers.
  • Monitor contractor performance against KPIs and SLAs.
  • Ensure contractors comply with health & safety and company standards.
  • Support regional tendering and supplier reviews where required.

Compliance & Health & Safety

  • Ensure stores meet statutory compliance requirements by supporting the PPM & Compliance Associate.
  • Supporting in maintaining accurate compliance records and certification.
  • Support audits and inspections within the region.

Budget & Cost Control

  • Support management of the budget.
  • Review and validate contractor quotes and invoices.
  • Identify cost-saving opportunities without compromising quality.

Store & Stakeholder Engagement

  • Act as a key contact for store managers within the region.
  • Provide guidance on facilities processes and issue reporting.
  • Build strong working relationships with Operations and Property teams.
  • Support new store openings, refurbishments, and closures.

Skills & Experience

  • Experience in facilities management within retail, F&B, or multi-site environments.
  • Experience supporting regional or multi-site estates.
  • Strong organisational and problem-solving skills.
  • Commercial awareness and cost control experience.
  • Good understanding of UK statutory compliance requirements.
  • Experience in managing contractors and service providers.

WORK CONDITIONS
