Job purpose

To be responsible for the effective facilities management of a designated portfolio of properties, ensuring that each property is maintained to a high standard, statutory and health and safety obligations are met, and services are delivered in line with client expectations, agreed budgets and service level requirements.

The role will be supporting the Head of FM in the day-to-day management of the FM team, including providing guidance to colleagues, assisting with workload prioritisation, monitoring service delivery and acting as a key point of support for operational queries. The role will also deputise for the Head of FM when required, helping to maintain continuity of leadership, decision-making and client service across the FM function.

Key responsibilities

  • Provide and ensure delivery of professional standards to external clients and internal colleagues concerning Facilities Management (FM)
  • Ensuring Health & Safety Compliance of own portfolio of properties
  • Responsible for Facilities Management of own portfolio of properties, including site inspections and instruction of works subject to budget/client expenditure limits
  • Working with the PM team on the preparation of and closure of Service Charges
  • Ensuring reactive works and budgeted works are undertaken in accordance with budget and Service Level Agreements (SLA)
  • Advising on appointment of third-party consultants to provide specialist technical advice (where required)
  • Working with the PM to add value to the overall PM/FM service, for example, attending tenant or client meetings.
  • Awareness of providing sustainability initiatives through FM service, working with the Sustainability Lead (SL) to integrate initiatives within the FM team across properties
  • Assisting the Head of FM on overall contractor management across the FM Service. Undertaking procurement/rationalisation of contractors across the FM-managed portfolio
  • Working with the FM team on Contractor Management
  • Working with the Head of FM on reviewing/monitoring of FM Helpdesk Service
  • Act as a point of escalation on FM team/service issues within the FM team
  • Mentoring and advising FM team members / Potential line management of Facilities Managers (FM)

Key performance indicators

  • Health & Safety compliance across portfolio above 95%
  • Budget control / spend within 5% of each property
  • Service Charge Budgets prepared and submitted following PM QA Procedure
  • Review of service charge closure within 5 working days of receipt
  • Inspection of properties in line with agreed frequency

Person specification

Knowledge, skills and experience required

  • Minimum of 5-10 years’ experience in Facilities Management
  • Demonstrable success in maintaining and delivering outstanding services to clients
  • Experience in procuring, tendering and managing contractors/contracts
  • IWFM membership
  • IOSH/NEBOSH Qualified
  • Knowledge of Health and Safety systems
  • Knowledge of Property Management / CAFM systems
  • Working knowledge of FM Helpdesk operations
  • Excellent communication skills, both written and oral
  • Attention to detail, i.e. appropriate coding and approval of invoices
  • Ability to work independently and prioritise workload
  • A team player who maintains a high degree of professional integrity
  • A personable character to fit in with and add to the ethos of SHW and its brand
  • Willing and able to travel to attend sites – Some sites are not easily accessible via public transport; therefore, access to your own transport/vehicle will be required
