An exciting opportunity has arisen at Oaklands College for a passionate and proactive Register & Timetabling Officer on Maternity Cover. This role sits within the Management Information Services (MIS) team and is central to ensuring the smooth operation of timetabling, room utilisation, attendance monitoring, and register management across the College's campuses. Working closely with curriculum teams and colleagues across the organisation, you will play a key role in maintaining the accuracy and integrity of vital learner and resource data.
As part of Oaklands' ambitious and learner-focused community, you will contribute to the efficient delivery of teaching and learning, helping ensure that staff, learners, and facilities are utilised effectively to support outstanding educational outcomes.
Your Day-to-Day Impact
As a Register & Timetabling Officer, you will take responsibility for the collection, maintenance, verification, and reporting of timetabling and attendance data within the College's Management Information Systems. Your organisational skills and analytical approach will help ensure the College operates efficiently and effectively.
A key element of your role will be maintaining accurate timetables, room bookings, and staff utilisation data. You will work proactively to identify clashes, resolve scheduling issues, and ensure curriculum timetables accurately reflect course requirements.
You will oversee the maintenance of attendance and participation records, ensuring that electronic registers and supporting evidence systems provide timely and accurate information to staff across the College. Your attention to detail will be essential in maintaining data accuracy and compliance with funding and audit requirements.

Working collaboratively with curriculum teams, partnership organisations, and MIS colleagues, you will support staff in the effective use of College systems and contribute to the continuous improvement of processes and controls that enhance data quality and integrity.
You will also produce reports, investigate anomalies, identify areas requiring improvement, and support the College in achieving positive audit outcomes through robust and compliant data management practices.
Providing exceptional customer service will be central to your success. You will confidently manage enquiries from learners, staff, visitors, and partners, ensuring all interactions are professional, helpful, and solution-focused.
Is This You?
Experience
- Experience working within a busy administrative or office environment.
- Experience managing schedules, timetables, bookings, or similar operational processes.
- Experience processing, analysing, and interpreting complex data.
- Experience working within education, MIS, or timetabling environments would be advantageous.

- Excellent written and verbal communication skills.
- Ability to communicate effectively with people at all levels.
- Professional and customer-focused approach with a friendly and approachable manner.
Organisation
- Exceptional attention to detail and accuracy.
- Ability to manage competing priorities and meet deadlines.
- Strong problem-solving skills with a proactive approach to resolving issues.
Teamwork & Initiative
- Comfortable working independently and collaboratively.
- Flexible and adaptable, willing to support colleagues during peak periods such as enrolment and examinations.
Digital Skills
- Proficient in Microsoft Office applications.
- Ability to learn and utilise College Management Information Systems effectively.
- Experience using databases, scheduling systems, or reporting tools would be beneficial.

Qualifications
Essential
- Level 3 ITQ, Business Administration qualification, or substantial experience in a similar role.
Desirable
- Knowledge of Further Education funding methodologies.
- Previous timetabling experience within a school or Further Education environment.
