About The Role
Latus Group is looking for an organised, confident, and personable Regulatory Services Coordinator to run the day-to-day operations of our Hull and Immingham clinics. This is a varied, front-of-house role that goes well beyond reception duties - you'll be the operational hub of the clinic, coordinating bookings, managing communications, and working closely with our clinical team to ensure every clinic day runs smoothly.
The role is based primarily in our Hull office, with a requirement to work from our Immingham office twice a week as standard. Flexibility to attend Immingham (or Hull) more frequently based on business need is essential, as clinic schedules can vary week to week.
Key Responsibilities
- Manage the booking and scheduling of client appointments across both the Hull and Immingham clinics
- Handle incoming calls and respond to client and stakeholder emails promptly and professionally
- Act as the first point of contact for anyone attending the clinic, providing a warm and professional front-of-house presence on reception during clinic hours
- Work closely with the attending doctor and technician to ensure appointments run to schedule and the clinic operates efficiently
- Proactively manage the clinic diary, resolving scheduling conflicts and rebooking as needed
- Maintain accurate records of appointments, attendances, and any relevant administrative documentation
- Support the wider team with general administrative tasks as required
- Escalate any operational issues promptly to ensure minimal disruption to clinic delivery

What We're Looking For
- Strong administrative skills with previous experience in a computer-based office role
- Confident telephone manner and professional written communication skills
- Comfortable working in a busy, fast-paced environment and managing multiple priorities at once
- A proactive, "get stuck in" attitude - someone who takes ownership rather than waiting to be told
- Strong interpersonal skills, with the ability to build rapport with clients, clinicians, and colleagues alike
- Flexibility and reliability regarding travel between Hull and Immingham (minimum twice weekly, with additional flexibility as required)
