Job Overview

To provide an effective comprehensive clerical and office support service to the Renal Unit Staff, patients, Renal Matron, Renal Administration Manager and Renal Services Manager, supporting their day to day responsibilities.

The post holder will be required to communicate with organisations and individuals outside of the Health Board.

Excellent written and communication skills are required for this post, as well as the ability to prioritise work and meet deadlines.

The post holder will be required to maintain strict confidentiality at all times.

The ability to speak Welsh is essential for this post. Minimum level 3-5

Main duties of the job

  • First point of contact for the Renal Unit by telephone, e-mail and correspondence or for visitors or members of the public. To deal with all persons in a pleasant, efficient and sympathetic manner.
  • To request and send on patient’s medical notes, and to file documentation in the appropriate section.
  • Undertake general office duties including dealing with incoming and outgoing mail, computer systems, photocopying and filing, and to fax referrals to various departments.
  • Arrange transport for outpatient appointments and dialysis as and when required.
  • Collect the daily patient ready times for transport morning and afternoon and liaise with ambulance transport and the Renal Hub accordingly.

Qualifications And Knowledge

Essential criteria

  • NVQ level 3 or be willing to undertake NVQ level 3 and to complete within 2 years.
  • Advanced IT Skills, including use of email, power point, word and excel.
  • Able to demonstrate English and Mathematics to GCSE or equivalent level.
  • Evidence of continuous/ongoing learning.
  • Knowledge and understanding of clerical/secretarial procedures and systems.
  • Welsh language skillset of level 3-5.
  • 'Welsh speaking' (minimum of level 3)

Desirable criteria

  • Evidence of relevant educational achievements.

Experience

Essential criteria

  • Experience of providing a comprehensive clerical/administrative service.
  • Familiar with office procedures and deadlines.

Desirable criteria

  • Previous secretarial and administrative experience to Senior Manager or equivalent.
  • Previous experience of working within the NHS
