Repairs Administrator
Salary: £30,571 plus excellent benefits
Location: Wooburn Green, High Wycombe
Hybrid working: Two days per week in the office, three days per week working from home
Contract: Permanent
Hours: 37 per week

About the role
We are looking for two Repairs Administrators to provide efficient administrative support across our repairs service. You will play a key role in maintaining accurate records, supporting case management, processing documentation and ensuring residents receive clear and timely updates about their repairs.
You will work closely with Repairs Co-ordinators, Contract Co-ordinators, operational teams, and contractors to ensure repair orders, follow-on works, and case files are managed effectively. You will also support performance reporting, data quality, and compliance activities, helping us deliver a responsive, well-organised, and resident-focused repairs service.
Key responsibilities
Repairs administration
- Provide administrative support across the repairs service
- Create and maintain accurate records within housing management and repairs systems
- Process repair orders, follow-on works, and associated documentation
- Update repair records following operative and contractor feedback
- Ensure all repair information is recorded promptly and accurately
Customer support
- Respond to resident enquiries relating to repairs and appointments
- Provide routine updates to residents on behalf of operational teams
- Assist residents with appointment confirmations, rearrangements, and enquiries
- Ensure all communication is professional, accurate, and customer-focused
Case and complaint support
- Support Repairs Co-ordinators with administration of complex repair cases
- Maintain case files and ensure documentation is complete and up to date
- Assist with complaint responses by gathering information and supporting case tracking
- Monitor action logs and follow up outstanding administrative actions

Contractor administration
- Support Contract Co-ordinators with contractor administration processes
- Raise purchase orders in line with procedures
- Process invoices and supporting documentation
- Maintain contractor records and information systems
- Support administration of contractor performance information
Performance and data management
- Produce routine reports and performance information
- Monitor outstanding actions and highlight overdue tasks
- Support data validation to ensure reporting accuracy
- Assist with service audits and information requests
Compliance and governance
- Maintain records in accordance with data protection requirements
- Maintain document management systems and filing structures
- Support compliance monitoring through accurate record keeping
- Ensure documentation is stored and retained in line with organisational requirements
Team support
- Provide administrative support for meetings, performance reviews, and operational activities
- Coordinate correspondence and team communications
- Support service improvement initiatives
- Assist colleagues during periods of high demand
About you
Experience
- Experience working in an administrative, customer service, housing, repairs, or maintenance environment
- Experience handling customer enquiries, appointments, or work orders
- Experience liaising with colleagues, contractors, or operatives
- Experience managing a varied workload and meeting deadlines
- Experience maintaining accurate records and using IT systems for administration or case management
Knowledge
- Understanding of customer service principles and the importance of keeping residents informed
- Basic understanding of responsive repairs, appointments, or scheduling
- Awareness of data protection and confidentiality requirements
- Awareness of health and safety, safeguarding, damp and mould, complaints, or disrepair matters
- Awareness of service performance measures such as overdue jobs, completion times, and right-first-time delivery
Skills
- Strong attention to detail
- Good communication skills with a customer-focused approach
- Good organisational skills and ability to prioritise tasks
- Ability to work collaboratively with repairs, customer service, and contractor teams
- Confident using Microsoft Office, Outlook, and relevant housing or repairs systems
- Ability to identify missing information, follow up actions, and escalate issues

Other
- Able to follow procedures and use initiative
- A flexible and supportive team player
- Level 2 or Level 3 qualification in business administration, customer service, housing, or related discipline, or equivalent experience
- Willingness to undertake relevant training and development
