Housing Fire Safety Compliance Team

Sheffield City Council manages around 38,000 homes and is committed to ensuring they remain safe, compliant and fit for the future.

We are recruiting two Coordinators to join our Housing Fire Safety Compliance Team at an exciting time of change and transformation. The Council has recently implemented a new operating model for delivering passive fire safety repairs across its housing stock, and these roles will play a central part in ensuring that fire safety defects are assessed, prioritised, allocated and monitored effectively.

This is an opportunity to join a service at the heart of the Council's Building Safety and Compliance agenda, helping to ensure we meet our statutory responsibilities while safeguarding residents and maintaining robust fire safety records.

About The Role

As a Coordinator, you will support the delivery of Sheffield City Council's passive fire safety repairs programme, working closely with contractors, delivery partners, technical officers and stakeholders across Housing Services.

You will coordinate fire safety repairs from receipt through to completion, ensuring work is appropriately prioritised, accurately recorded and effectively monitored. The role will involve managing repair requests, allocating work to the correct contractor workstream, monitoring performance, maintaining compliance records and supporting the overall management of a major fire safety contract.

Working within a highly regulated environment, you will help ensure the Council maintains accurate asset information, compliance records and performance data, providing assurance that fire safety risks are being managed effectively.

Key Responsibilities

You will be responsible for:

  • Receiving, assessing and coordinating fire safety repair requests.
  • Supporting the prioritisation and allocation of repairs based on risk and operational requirements.
  • Monitoring repairs through to completion and identifying delays, issues or risks.
  • Liaising with contractors, consultants, delivery partners and internal stakeholders.
  • Maintaining accurate records, compliance documentation and asset information.
  • Updating systems and databases to ensure high-quality data is available.
  • Monitoring contractor performance and supporting contract management activities.
  • Producing reports, performance information and management updates.
  • Supporting the effective delivery of fire safety compliance programmes across the Council's housing stock.
  • Contributing to the continuous improvement of processes, record management and service delivery.

Specific Roles And Responsibilities

  • Work within Housing and Neighbourhood Services as part of the Housing Fire Safety Compliance Team, supporting the delivery of passive fire safety repairs across the Council’s housing stock.
  • Receive, assess and coordinate fire safety repair requests from initial referral through to completion, ensuring each request is progressed through the appropriate operational route.
  • Support the risk-based prioritisation of fire safety defects and allocate work to the correct contractor or delivery workstream in line with operational requirements.
  • Monitor repairs, follow-on works and outstanding actions through to completion, identifying delays, access issues, emerging risks or other barriers and escalating these appropriately.
  • Maintain accurate repair, compliance, asset and audit-trail records, ensuring information is complete, current and capable of supporting service assurance.
  • Update relevant systems and databases promptly and accurately, including job status, contractor information, supporting documentation and completion records.
  • Liaise professionally with contractors, consultants, delivery partners, technical officers and colleagues across Housing Services to coordinate activity, resolve queries and maintain progress.
  • Act as a point of contact for residents in relation to fire safety repairs, responding to telephone enquiries, providing progress updates and ensuring residents receive clear, accurate and timely information.
  • Support resident engagement by explaining repair processes, planned works and access requirements, managing expectations and helping to resolve resident queries or concerns through the appropriate channels.
  • Support access arrangements for inspections, surveys, repairs and follow-on works by liaising with residents, contractors and internal teams to minimise delays and help secure successful access.
  • Arrange and coordinate appointments where required, including confirming attendance dates, supporting the rearrangement of appointments and ensuring residents and relevant delivery partners are informed of any changes.
  • Identify and escalate recurring access issues, resident concerns or communication barriers to the appropriate officer so that these can be addressed and works progressed.
  • Monitor contractor performance and support contract-management activity by tracking progress, highlighting exceptions and providing accurate information on delivery issues and outcomes.
  • Produce routine reports, performance information and management updates to support oversight of repair volumes, priorities, progress, risks and completion status.
  • Support quality assurance by checking that required information and evidence have been received, recorded and referred to the appropriate technical officer where professional or technical review is needed.
  • Help ensure residents and internal stakeholders receive clear, accurate and timely information about the coordination and progress of fire safety repairs, in accordance with agreed service arrangements.
  • Contribute to the effective delivery of fire safety compliance programmes and the implementation of the Council’s operating model for passive fire safety repairs.
  • Contribute to continuous improvement by identifying process, data-quality and service-delivery issues and supporting the development of more consistent and efficient ways of working.
  • Handle information in accordance with relevant Council policies, procedures and data-protection requirements, recognising the safety-critical and regulated nature of fire safety records.

What You'll Bring

We are looking for organised, proactive and detail-oriented individuals who can manage competing priorities while maintaining high standards of accuracy and customer service.

You will ideally have experience in coordinating work programmes, repairs, contracts, compliance activities or technical services within housing, construction, property maintenance, building safety, facilities management or a similar environment.

You will be able to demonstrate:
