Reservations & Sales Executive

About the company

The Superlative Collection is a dynamic group of premium bars and restaurants in Glasgow City Centre. Each venue in our portfolio offers a distinct and vibrant experience, underpinned by exceptional service and high-quality food. As we navigate major growth in 2026, we're seeking a highly organised and personable Reservations & Sales Executive to coordinate large bookings and private event enquiries, while delivering outstanding service over phone and email, supporting general administrative tasks, and assisting the Director of Sales, PR & Communications, venue teams and wider sales & marketing team with key business functions.

As our group continues to grow, we're recruiting for two new roles: one full time and one part time. Both offer real scope to develop as the business expands.

Role Summary

  • Positions: Reservations & Sales Executive (1 x Full-Time / 1 x Part-Time)
  • Location: Glasgow City Centre
  • Hours: 30-45+ hours per week, alternating days with the full-time Reservations & Sales Executive (who works Tuesday to Saturday), ensuring daily cross-over and continuity across the working week. Additional hours will be required during peak trading periods (e.g. October/November in the run-up to the festive season), where flexibility to increase hours temporarily is essential.
  • Reporting to: Director of Sales, PR & Comms
  • Salary: Part time from £19,000 per annum (DOE), Full time from £29,000 per annum (DOE)
  • Key Focus: Answering phones and emails promptly will be the most important part of this role. Beyond this, key focuses will be handling large group bookings - especially festive coming up to December (!), delivering 5-star communication across all guest interactions, and converting enquiries into confirmed sales.

Your Key Responsibilities

Customer Communication

  • Answer all incoming phone calls and emails as quickly as possible - this is the most critical responsibility of the role, and response time directly impacts both guest experience and sales conversion.
  • Deliver exceptional first impressions via phone and email - your tone, knowledge, and friendliness should reflect the premium nature of our venues.
  • Respond to client enquiries quickly and professionally, maintaining a warm and confident approach at all times.
  • Ensure all messages are clear, well-written, and aligned with brand voice and standards.
  • Prioritise incoming communication over other tasks, ensuring no call goes unanswered and no email sits unattended for long periods.

Large Group Reservations

  • Manage all incoming enquiries for groups of 15+ guests, including large party bookings and events of up to 40 guests.
  • Handle each booking with consistency, speed, and accuracy using ResDiary and internal systems.
  • Maintain meticulous attention to detail when collecting event requirements or booking specifications.

Sales & Upselling

  • Use naturally persuasive and positive language to promote venue features, packages, and upgrades.
  • Proactively upsell premium services to maximise revenue per booking.
  • Meet or exceed individual and team sales targets.

Administration & Support

  • Assist the Director of Sales, PR & communications and the reservations & sales team with day-to-day administrative tasks including tracking enquiries, updating reports, and preparing materials for meetings or campaigns.
  • Maintain a clear inbox, responding to enquiries within one hour, forwarding items to the right team member, and flagging anything urgent so that no enquiry goes unanswered.
  • Maintain and update digital filing systems, booking databases, and internal documentation to ensure accuracy and efficiency.
  • Support the wider sales & marketing team with ad-hoc duties such as lead follow-ups, CRM maintenance, and communication drafts.

Event Coordination

  • Work with clients and internal venue teams to coordinate event details, ensuring seamless execution across all departments.
  • Record all booking and event information accurately and ensure key internal stakeholders are briefed.
  • Ensure all client expectations and special requirements are captured and communicated.
  • Keep venue diaries and booking notes accurate, chasing final numbers, meal choices and balances to confirm every event at least two weeks in advance.

Team Collaboration

  • Work closely with the reservations & sales team on a daily basis to ensure smooth handover and consistent service, with all days of the week being covered on phones/emails to provide continuous coverage.
  • Maintain clear, up-to-date handover notes to ensure no enquiry, booking, or client detail is lost between shifts.

Our perfect candidate

  • Proven experience in handling high-volume reservations or group bookings, ideally in hospitality or events.
  • A polished and personable communicator via both phone and email.
  • Confident in managing multiple enquiries across various venues at once in a calm and friendly manner.
  • Highly organised with great attention to detail.
  • A team player who thrives under pressure and loves the buzz of hospitality.
  • Familiar with Google Docs, Microsoft Office and booking platforms (e.g., ResDiary/Skiddle or be quick to learn).
  • Comfortable working flexible while staying closely connected to a fast-moving team, with strong handover and communication skills to support a job-share style working pattern.
  • Happy to work extra hours as the business needs grow during busy periods

  • Knowledge of the Glasgow hospitality market
  • Experience working in a fast-paced sales or events environment
