Residential Conveyancing Assistant/Paralegal
Job Description & Responsibilities:
- Opening matters in the case management system and issuing to clients via our Landsmiths App
- Dealing with returned onboarding documents from clients and updating the case management system
- Ensuring the information within matters in the case management system is accurate and kept up to date including updating matter agendas and Landsmiths App processes
- Obtaining Land Registry documents and preparing draft contract packs
- Diarising and chasing matters
- Answering phone calls - providing updates to clients, agents, other solicitors etc
- Producing and issuing quotes and maintaining the quotes spreadsheet
- Obtaining redemption statements and ordering leasehold / freehold management packs
- Provide professional telephone support to the team by liaising with clients and third parties such as Estate Agents, Banks, Land Registry, HMRC and managing agents
- Preparing accounts slips for receipts and payments and engrossing bills for clients
- On-going file correspondence such as memorandums of exchange.
- Preparing files for completion and dealing with post completion formalities–including necessary letters and accounts paperwork
- Land Registry registration applications
- Closing files
- General admin duties including post, printing, scanning, photocopying and digital dictation when necessary
- Managing own email account efficiently
- Assisting with the firm’s archiving when necessary
- To provide ad hoc support to the firm as needed:
- opening files
- dealing with onboarding clients
- undertaking accounts processes as part of a transaction
