Residential FM Coordinator
Purpose of Role
At The Crown Estate, our places are among the most diverse and prestigious in the UK. As Residential FM Coordinator, you'll play a vital role in supporting the smooth operation, safety, and compliance of our residential portfolio.
Working alongside our Residential Facilities Management team, you'll provide high-quality administrative, operational, and compliance support across a varied portfolio of residential and mixed-use properties. You'll help ensure statutory obligations are met, records remain accurate, contractors are effectively coordinated, and key management information is readily available to support decision-making.
This is an excellent opportunity for an organised and proactive individual who enjoys working in a fast-paced environment and wants to build their career within property and facilities management.
Main Accountabilities
- Provide comprehensive administrative support to the Residential Facilities Management team.
- Monitor compliance schedules, statutory inspections, and planned maintenance programmes.
- Coordinate contractors, service providers, and internal stakeholders to ensure inspections and remedial works are completed on time.
- Maintain compliance records and update business systems accurately.
- Produce reports, management information, meeting minutes, and action trackers.
- Manage electronic filing systems, building records, and operational documentation.
- Coordinate team calendars and support the planning of operational activities.
- Support onboarding and user administration across FM platforms.
- Assist with team rotas, out-of-hours schedules, and operational communications.
- Contribute to continuous improvement initiatives that enhance service delivery and operational efficiency.
- Support site inspections, building operations, and project work as required.
- Help deliver KPI and SLA targets across the residential portfolio.

About You
We're looking for a highly organised coordinator with strong administrative skills and a passion for delivering excellent service.
You'll bring:
- Experience providing administrative support within Facilities Management, Property Management, or a similar operational environment.
- Experience supporting compliance-related activities, inspections, and reporting.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- Experience coordinating contractors and stakeholders to achieve service outcomes.
- Excellent communication and relationship-building skills.
- Confidence challenging, questioning, and collaborating with colleagues and stakeholders.
- Strong analytical skills and experience producing accurate reports and documentation.
- Proficiency in Microsoft Office, including Excel, Outlook, Teams, Word, and PowerPoint.
- A proactive, customer-focused approach and commitment to continuous improvement.
- Strong problem-solving skills and attention to detail.
Desirable:
- IOSH or equivalent Health & Safety qualification.
- Experience using CAFM, compliance, or risk management systems.
- Experience within residential or mixed-use property environments.
- Knowledge of compliance performance reporting and contractor management.
