About our role

As our Residential Property Administrator you will play a pivotal role in keeping our business operations compliant, efficient, and running smoothly. You'll work within our small, highly efficient Legal Team, providing vital administrative support across residential property sales and resales, legal and compliance workflows, property document management, and core business systems.

Your key responsibilities will include...

  • Residential sales and resales support: Raise invoices, update trackers, chase payments, liaise with internal teams and external parties on property enquiries, and draft/issue formal letters, consent forms, and certificates via DocuSign to ensure seamless property transactions.
  • Document & System Administration: Act as the primary administrator for our 'Collaborate' document storage system, managing user access, folder structures, contract archives, data cleansing/retention schedules, and renewal tracking.
  • Compliance & Policy Oversight: Oversee our eLearning platform to track mandatory policy completion, centralise the logging of incidents (including Data Protection, CCTV, health & safety/accidents, and whistleblowing), and maintain key compliance calendars.
  • Operational & Legal Workflows: Maintain Powers of Attorney registers, process DocuSign workflows (including NDAs and licences), compile monthly WIP/outstanding solicitor reports, coordinate business-wide legal training, and provide ad-hoc support to the Treasury team.
  • Key Communication Hub: Serve as a trusted point of contact for team communications, using your discretion and sound judgment to prioritise and resolve daily queries.

Additional Information

  • This is a fixed term contract lasting 9-12 months.
  • The salary for this role is £18,000, based on a full time equivalent of £30,000 per annum.
  • You'll work 22.5 hours per week, Monday - Friday 10:00 - 14:30.
  • We offer hybrid working with a minimum of two office based days per week.
  • We have free, onsite staff parking.

About You

You are a proactive administrative professional with strong judgment, a sharp eye for detail, ideally with a background in residential property, estate management, or housing operations. You understand how property administration and sales process workflows fit together, allowing you to hit the ground running. You thrive in fast-paced environments, balancing shifting operational priorities with total accuracy and discretion.

Qualifications & Experience

Background: Experience working within residential property, housing, block management, or estate sales support is strongly preferred. You bring a proven track record in administrative support, handling sensitive property data, managing operational workflows, and maintaining robust filing systems.

System Knowledge: Tech-savvy with Google Workspace (Docs, Sheets, Gmail). Exposure to property management platforms or CRMs (such as Qube, Fixflo, or Salesforce) is highly desirable, though full system training will be provided.
