The Role

The role of Resource coordinator is to manage all Professional Services Opportunity requests through to completion by scheduling CDW and 3rd party resources based on availability, technical skills & location. Responsible for ensuring the correct commercial & contractual documentation has been completed in line with the set procedures and responding to queries relating to opportunity requests.

Success in the Resource Coordinator position within Professional Services Operations is defined by consistently delivering efficient and accurate resource management for Professional Services opportunities. Overall, the successful Resource Coordinator demonstrates meticulous organisation, effective stakeholder collaboration, and robust attention to detail, ensuring all processes and documentation are completed to a high standard, and commercial interests are consistently protected.

What you will do

  • Manage Professional Services cases in Salesforce through the full lifecycle — triage, scope, and acceptance — keeping all records accurate and updated within agreed timeframes.
  • Allocate the most appropriate resource to each engagement based on skills, availability, and location, optimising both service quality and CDW's commercial position.
  • Take full ownership of resource bookings, ensuring the correct documentation (e.g. a Statement of Work) is in place and stored in the correct folder structure.
  • Engage third party resource providers where suitable in-house resources are unavailable.
  • Maintain the scheduling system so that team utilisation, forecasting, and management information remain accurate.
  • Validate sales orders to confirm the information is correct and all prerequisites are met before resources are allocated.
  • Collaborate with stakeholders across the business to review and maximise team utilisation.
  • Review weekly Power BI and resourcing reports, resolving or escalating any inaccuracies.
  • Manage day to day communications with the Billing & Support team, Sales Account Managers, and suppliers through the shared mailbox.
  • Build strong, collaborative working relationships with internal and external stakeholders.
  • Provide excellent service at every touchpoint — responding promptly, professionally and going the extra mile to meet the needs of coworkers and customers.
  • Provide cover for other coordinators during periods of absence or high demand.
  • Consistently follow team processes, achieving at least 95% accuracy each month.

Knowledge, Skills and Experience

  • Highly organised with strong decision-making skills
  • Previous experience in an administrative role
  • Strong communication skills
  • Proficient with the use of Microsoft Office products, such as Outlook, Word & Excel
  • Quality focused with excellent attention to detail
  • Able to work with established procedures with moderate supervision
