The Role

At Great State, we help organisations stay ahead of shifting customer expectations. We bring together strategy, creativity, and technology to shape customer experiences and making that happen takes thoughtful planning and the right people working together.

We’re looking for a Resource Manager who can see the bigger picture, get into the detail, and bring clarity to the way we plan and allocate work across the agency.

What You'll Be Doing

  • Keeping the agency connected: Maintain an accurate resource plan, looking ahead across confirmed projects, likely pipeline, leave, and internal commitments.
  • Getting ahead of challenges: Spot capacity gaps, scheduling conflicts, and competing demands early, bringing practical options and clear recommendations.
  • Helping people make decisions: Lead focused resource meetings and ensure priorities, decisions, and actions are understood and followed through.
  • Coordinating external support: Work with colleagues to secure freelancers, contractors, and near-shore partners, keeping availability, costs, and approvals visible.
  • Turning data into useful insight: Produce clear reporting that helps teams understand capacity, demand, and emerging risks, and informs wider workforce planning.
  • Building better ways of working: Keep Synergist accurate and reliable, champion consistent planning processes, and introduce practical improvements to workflows and reporting.

  • Enjoy bringing order to a busy, changing environment. You’re organized and analytical, but you also understand that a resource plan is about people: their skills, development, workload, and ability to do good work.
  • Stay calm when priorities shift, ask thoughtful questions, and feel comfortable challenging a request that needs more clarity. You can explain a constraint, talk through the options, and help colleagues reach a workable decision.
  • Take ownership, follow things through, and build trusted relationships across different teams. You’re equally comfortable working through the detail of a schedule and stepping back to understand what it means for the agency.

We're Looking For Someone With

  • Experience in resource management, workforce planning, production coordination, project operations, or a similar role in a multidisciplinary environment.
  • Confidence managing complex schedules and competing priorities, with a forward-looking view of capacity and demand.
  • Commercial awareness, including how allocation decisions affect project budgets, utilisation, freelance costs, and delivery.
  • Strong stakeholder management and communication skills, including the confidence to raise concerns constructively.
  • Experience coordinating freelancers, contractors, or external delivery partners.
  • Confidence working with operational data, producing useful reports, and improving processes.
  • Experience in a digital or technical agency, consultancy, or other project-led business is essential. Familiarity with Synergist, or using AI tools to improve planning and reporting, would also be welcome.
