Location: Marylebone, London

Type: Permanent

Work model: Hybrid, 4 days in Marylebone studio

Reports to: VP, Operations

While the primary focus for this role is within CLOSER Studios, all employees have the opportunity to support our various businesses where needed or desired.

The Role

We are looking for a Resource Manager to be the calm, clear-sighted force behind how CLOSER's creative and production teams come together. Every brilliant campaign, experience, activation, or shoot depends on the right people being in the right place at the right time and you will be the person who makes that happen, project after project.

This is a role for someone who enjoys solving puzzles: balancing ambition against capacity, pace against budget, and wishlists against what is deliverable. You will own our project tracking and resourcing systems, which form the beating heart of how CLOSER manages our scale and capacity. You will be the trusted voice in the room whenever priorities shift and teams need to move fast.

Crucially, you will know our people. You will build a detailed understanding of what each member of our team and network does best so that when a project is initiating, you are not just checking who is available, but confidently recommending who is right.

Working closely with VP Operations, Engagement, and Creative leadership, you will bring structure and foresight to a fast-paced, creatively led studio without ever slowing down the work itself. If you love being the person who keeps everything moving, this is a role built for you.

Knowing Our Talent, Inside and Out

  • Build a genuinely deep understanding of the skillset, strengths, and working style of our team and our network.
  • Be the person in the room who can confidently say who should be on a project and why, matching skill, experience, capacity, and location to a project needs.
  • Keep a live, working knowledge of our talent pool, so that when a new project lands you already know who to suggest.
  • Proactively put names forward for upcoming projects, bringing options to creative and production leads before they have to ask.
  • Spot skill or capacity gaps in our existing network early, and flag where new talent needs to be sourced to fill them.

Utilisation & Capacity

  • Take ownership of utilisation across the studio, making sure our team is properly and fairly resourced.
  • Keep a close eye on utilisation reports to spot under or over-resourced members of the team before it becomes a pattern.
  • Use our data and reporting tools to maintain a detailed capacity plan, identifying where we are consistently over or under allocated on particular skillsets.
  • Turn insights into a clear case for team changes, contract support or new hires.
  • Bring utilisation insight into planning conversations with Operations and creative leadership, so staffing decisions are grounded in objective data rather than guesswork.

Project Tracking & Resource Planning

  • Own our project tracking systems (Streamtime) as the single source of truth for how CLOSER resources its work, keeping it sharp, current, and trusted by everyone who relies on it.
  • Shape how new starters, contract and permanent, are brought into our resourcing systems, setting them up to be onboarded and working from day one.
  • Champion good time-tracking habits across the studio, making it easy for people to log time accurately.
  • Lead the weekly Allocations meeting with Engagement and Production, turning a moment of coordination into a genuinely useful planning conversation.
  • Plan resourcing as far ahead as scope and timelines allow, working with Engagement Leads to map whole projects across the team.

Traffic Management

  • Be the go-to for resourcing within the studio - the person to call the moment something needs to move.
  • Spot bottlenecks and overcommitment before they become a problem, and act on them.
  • Notice patterns of overtime and raise them with Engagement, championing a healthy, sustainable way of working.
  • Stay a step ahead of shifting project timelines, ready to pivot resourcing at short notice.
  • Keep absence, holiday, and availability accurately tracked, so plans stay realistic.

Bookings & Balancing Risk

  • Manage the full landscape of contract bookings, holding the line between committing early enough to secure great talent and overcommitting before a project is confirmed.
  • Keep a constant eye on capacity, and budget, escalating early when a booking doesn't add up.
  • Extend and adjust bookings quickly as project needs evolve, so nothing stalls waiting on admin.
  • Maintain a Resource Bookings tracker that leadership can trust at a glance.
  • Keep proposed teams honest against approved client budgets, giving leadership a clear, early read on margin.

Reporting & Planning Tools

  • Partner with VP Operations to keep the staff budget forecast sharp and current, giving the business a real-time view of resourcing costs.
  • Help steer the studio towards its target staff ratio.
  • Own the tools that make resourcing visible and trustworthy across the business.

Skills & Experience

  • Proven experience in a resourcing, traffic management, or studio operations role within a creative studio or comparable environment.
  • Hands-on experience with resourcing or traffic systems such as Streamtime, or similar project and resource management platforms.
  • A sharp instinct for staffing models - pencils vs. firm bookings, staff ratios, and budget-aware planning - and the confidence to make the call when it matters.
  • Genuine curiosity about talent skillsets and level of craft, with the ability to build and hold a detailed, up-to-date picture of what our team and contract network can each do best.
  • Confident stakeholder management, comfortable balancing the needs of creative leadership, Engagement, and Finance.
  • Excellent organisational skills and a natural eye for detail, without losing sight of the bigger picture.
  • Genuine commercial curiosity, comfortable getting into the detail of budgets and cost roll-ups.
  • A calm, solutions-first mindset, energised rather than rattled by a fast-paced, creatively led environment.
  • Proficiency with Google Workspace, Slack, and resourcing or project management platforms such as Streamtime or equivalent tools.
  • Experience within a fashion or luxury environment is beneficial.
