Retreat Operations & Administration Coordinator
The best retreats feel effortless to guests, but behind every beautifully run experience is someone making sure the details are right. Rachel’s Retreats runs wellbeing / arts / corporate retreats in 7 venues across 5 countries and we are looking for a warm, organised and proactive Retreat Operations & Administration Coordinator to join our growing team to help bring memorable retreats to life for our guests from around the world.
If you enjoy being organised, communicating with people and quietly making things happen, you’ll play an important part in the success of our retreats.
Responsibilities
- Coordination and administration of retreat delivery – from accommodation and housekeeping schedules to transport and experience bookings.
- Liaison with suppliers, partners, guests.
- Creating and maintaining accurate records across booking and operational systems.
- Providing reliable administrative support to the retreats team.
- Tracking deadlines and delivery, ensuring all key arrangements are confirmed ahead of each retreat.
- Resolving practical issues and keeping retreat admin running smoothly.

Essential Skills and Experience
- Excellent organisation and strong attention to detail.
- A warm, confident and professional communication style.
- The ability to manage multiple elements, deadlines and priorities without losing sight of the detail.
- Experienced and confident in using spreadsheets, booking systems and digital platforms. Experience in Canva / similar useful.
- A proactive, practical approach and the ability to work independently.
- Experience in administration, hospitality, events, travel or a similar environment.
- A genuine interest in creating thoughtful, well-organised experiences for others.

Working Environment
Edinburgh Office based, working with the Senior Event Manager and the wider RR team.
Salary approx £30-35K, depending on experience
