🚀 Proposal / RFX Manager (12-Month Contract)
📍 Location: Remote (as & when travel to office / London)
💰 Day Rate: £450 – £500 / day (Inside IR35)
⏱️ Duration: 12-Month Contract (Paternity Leave Cover – Target Start ~Nov 11th)
🌟 Role Overview
We are looking for a proactive, high-energy Proposal / RFX Manager to step in and hit the ground running! Joining a high-performing EMEA team, you will take ownership of end-to-end competitive sales proposals, RFPs, and RFIs.
In this fast-paced environment, you’ll drive 10–15 submissions per month while balancing ~5 active projects concurrently. You will leverage modern AI-powered tools to draft content quickly, while working cross-functionally with internal SMEs, commercial, finance, and leadership teams to ship polished, winning bids.
🔑 Key Responsibilities
- End-to-End Proposal Ownership: Lead RFPs, RFIs, and proactive proposals from initial receipt right through to final, on-time submission.
- AI Orchestration & First Drafts: Use AI bid tools (Loopio, Gemini, LLMs) to rapidly scaffold, draft, and assemble custom proposal responses.
- Cross-Functional Collaboration: Partner with Subject Matter Experts (SMEs), Solution Consultants, Pricing/Finance, and Senior Leadership to gather inputs and validate content.
- Human-in-the-Loop Quality Control: Review AI-generated output for compliance, factual accuracy, legal alignment, and tone to eliminate hallucinations and risks.
- Risk & Gap Analysis: Run thorough gap analyses comparing drafts against client specifications to ensure 100% compliance and flag deal-specific risks early.
- Knowledge Management: Capture win themes, competitive differentiators, and custom narrative assets post-submission to refresh the central content library.

💼 What We’re Looking For
- Industry Background: Strong prior experience within a CRO (Clinical Research Organization) or broader Life Sciences / Healthcare Software environment is highly preferred.
- Interpersonal & Stakeholder Skills: Outstanding written and verbal communication—you must be comfortable steering cross-functional stakeholders, asking direct questions, and driving accountability without overthinking.
- AI Tooling & Tech Stack: Hands-on experience with AI proposal platforms (Loopio) alongside general LLMs (Gemini, ChatGPT, Slackbot) and Salesforce/Google Workspace.
- Fast-Paced Execution: Thrives under pressure, handles tight turnarounds, and confidently prioritizes multiple deliverables with minimal hand-holding.
- Education / Certifications: Degree in Business, Marketing, Communications, or related field (APMP certification is a strong plus!).
