DEPARTMENT: Finance
REPORTS TO: RS, Billing & Disputes Team Leader
Purpose of the Job:
Verifies that all relevant documents have been received from the proper sources (Warehouses - checkers - Drivers) Ensures that all documents received on the same day are sent (Scan documents) to the Group Route Settlement Team Finding and sending documents through the physical file
Key Results Areas & Contributions
LEAD
- Actively supports and assists the task of Group level RS (Route Settlement) Team
- Ensures that all necessary documents are received and scanned daily
- Finds and sends all necessary documents required for the settlement of disputes on the basis of SLA's
PARTNER
- Partners with Group level Team, Finance, Commercial, Warehouses & Logistic Country Functions to improve level of customer service & work efficiency.
- Liaises with other key stakeholders as required regarding financial controls and regulatory compliance.
- Establish and maintain effective working relationships with all employees across all Group level departments, in Country finance/logistic and transportation companies with related drivers
- Build and support positive collaborating atmosphere within the team

INNOVATE
- Adopts and applies the best techniques for work optimization
- Shares best practices with the team and across stream, proactively improves processes
- Drives improvement projects across the stream.
MANAGE
- Ensures with the warehouse, checkers, and drivers that they have received all the necessary documents to complete the Settlements
- Finalizes the daily sending of all necessary documents to the Group RS team to complete the settlements through scanning.
- Interacts with warehouse, transportation companies and Group level Account Receivables to get all necessary information for the finalization of the shipments
- Checks that all invoices from each shipment have been received by the transport companies
- Sends all supporting documents to the Group RS team to resolve customer disputes based on SLA's
- Archives naturally all shipments/ documents and ensuring their integrity.
- Checks all the documents that printed out by the Group RS team, archive them naturally and sends the originals by courier to the customers
- Maintains active cross- stream/ team communication
- Support onboarding of newcomers

DELIVER
- Target finalization of sending shipments/ documents and follow up of the remaining unsettled
- Ensure Audit compliance.
- Ensure that company policies and local country tax requirements are adhered.
- Ensure high level of internal and external customer satisfaction.
Requirements
Knowledge
- 2nd level education. University degree is advantage
- Fluency in English
Experience
- Experience with team collaborations is a plus
- Experience with service delivery to internal and external customers within SLA’s.
- Experience and knowledge of SAP system is advantage
