Sales Administration Team Leader

Location: Yateley
Contract Type: Permanent
Hours: 37.5 hours (08:30am-17:00pm)

DCS Engineering are currently supporting a leading engineering and manufacturing organisation with the recruitment of a Sales Administration Team Leader to join their team in Blackbushe.

This is an excellent opportunity for an experienced sales administration professional with strong order processing and customer service experience to take responsibility for a sales administration team within a technical engineering/manufacturing environment.

Job Responsibilities:

  • Lead and manage the Sales Administration team, coordinating workloads and ensuring high levels of productivity and customer service.
  • Ensure customer sales orders are processed accurately, efficiently and within agreed procedures and timescales.
  • Process purchase orders and customer contracts, matching orders against existing quotations and entering information into ERP systems.
  • Ensure relevant internal approval and vetting processes are completed before orders are accepted.
  • Liaise with Engineering and Project teams regarding complex customer orders and ensure product requirements are accurately reflected in the ordering and production process.
  • Attend project order meetings, monitor progress against agreed plans and communicate updates to customers where required.
  • Coordinate order acknowledgements and ensure these are issued to customers within agreed timescales.
  • Work closely with Production Planning teams to coordinate dispatch dates and ensure committed delivery dates are achieved.
  • Monitor delivery schedules and proactively communicate any changes to customers and internal stakeholders.
  • Coordinate worldwide shipments, working with internal packing teams, couriers and freight forwarders.
  • Ensure shipping documentation is complete and that export, VAT and relevant regulatory requirements are adhered to.
  • Produce accurate and timely customer invoices and monitor monthly invoicing targets.
  • Line manage, coach and develop members of the Sales Administration team, providing clear objectives, training and ongoing support.
  • Monitor team performance and identify opportunities for continuous improvement.
  • Ensure compliance with company quality processes and procedures.
  • Deputise for the Sales Office Manager on relevant Sales Administration activities when required.

  • Proven experience within sales order processing or sales administration, ideally within an engineering, manufacturing or technical environment.
  • Experience managing or leading a team, with the ability to motivate and develop team members.
  • Proven experience of worldwide exporting and international shipments.
  • Strong customer service skills with experience dealing directly with external customers.
  • Excellent verbal and written communication skills.
  • Strong organisational skills with excellent attention to detail.
  • Experience using ERP and CRM systems.
  • Ability to prioritise workloads, solve problems and make effective decisions.
  • A proactive approach with the ability to work effectively across multiple internal departments.
  • A-level standard education or equivalent, ideally with a Business-related qualification.
