About Finest Foods
Finest Foods is a fast-growing specialist supplier to the UK & Ireland foodservice market. We source, develop and deliver a focused range of high-quality frozen and ambient food products, working with wholesalers, distributors, restaurant groups and franchise operators across the market.
Built on strong customer relationships, exclusive manufacturing partnerships and an entrepreneurial approach, Finest Foods is continuing to grow its team and infrastructure to support the next stage of the business.
We are now looking for an exceptional Sales Administrative Executive to become a key part of our internal commercial team.
The Role
This is a fast-paced administrative role at the centre of the business.
You will provide high-level administrative and operational support to the sales team and Directors, helping ensure that customer requirements, sales actions and internal tasks are handled quickly, accurately and efficiently.
Information and requests will come from multiple directions throughout the day – email, telephone, WhatsApp, customers, suppliers, sales colleagues and Directors. You will need to be exceptional at capturing these actions, determining priorities and ensuring that nothing gets missed.
This role would suit someone who gets genuine satisfaction from being highly organised, completing tasks efficiently and bringing structure to a busy working environment.
Key Responsibilities
Sales & Customer Administration
- Provide day-to-day administrative support to the sales team and Directors.
- Manage incoming customer enquiries and requests professionally and efficiently.
- Process and coordinate customer orders accurately.
- Maintain customer information, pricing, product information and internal records.
- Prepare sales reports, spreadsheets, presentations and other commercial documentation.
- Follow up outstanding actions with customers, suppliers and internal colleagues.
- Support customer account administration and ensure agreed actions are completed.

Task & Workflow Management
- Capture actions received through email, telephone, WhatsApp, meetings and verbal requests.
- Prioritise competing tasks according to urgency and commercial importance.
- Proactively follow actions through to completion rather than waiting to be chased.
- Maintain clear task lists, trackers and internal records.
- Identify potential issues early and escalate appropriately.
- Help create greater structure and efficiency across administrative processes.
Excel, Reporting & Data
- Create, maintain and update Excel spreadsheets and trackers.
- Manipulate and analyse data accurately.
- Produce reports for the sales team and Directors.
- Maintain accurate customer, product and commercial information.
- Ensure data is organised, accessible and kept up to date.
Sales Team Support
- Support field sales colleagues with customer information, pricing, samples and follow-up actions.
- Coordinate meetings, customer requirements and sales activities.
- Help ensure actions generated from customer visits are completed quickly.
- Liaise across sales, finance, logistics and suppliers to resolve issues.
General Business Support
As part of a growing SME, the successful candidate will also be expected to support wider business priorities when required. We are looking for someone who sees what needs doing and takes responsibility for helping get it done.

About You
Essential
- Strong previous administrative experience in a busy commercial environment.
- High level of Excel competence.
- Exceptional organisational and task-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple priorities simultaneously.
- Able to distinguish between what is urgent, what is important and what can wait.
- Confident managing tasks received through multiple communication channels.
- Strong Microsoft 365 skills, including Outlook, Excel, Word and PowerPoint.
- Professional telephone and written communication skills.
- Comfortable working at pace without sacrificing accuracy.
- Able to work independently and take responsibility for completing tasks.
