Bespoke Staging NI provides professional staging solutions tailored to each client and event. We pride ourselves on delivering a responsive, reliable service—from the initial enquiry and site visit through to installation and completion.
We are looking for an organised, personable and proactive Sales Administrator to manage incoming enquiries and support the smooth coordination of our sales and scheduling process.
The Role
The Sales Administrator will often be the first point of contact for prospective and existing customers. You will respond to enquiries, gather the information needed to understand each project, schedule site visits and ensure opportunities are followed up promptly.
This role would suit someone who communicates confidently, keeps excellent records and enjoys bringing order to a busy, fast-moving environment.
Key Responsibilities
- Handle inbound enquiries received by telephone, email, website and social media.
- Respond to customers promptly and professionally.
- Gather project details, including the event or installation date, venue, dimensions, access requirements and requested staging solution.
- Qualify enquiries and identify promising sales opportunities.
- Schedule on-site visits, consultations and surveys for the relevant team members.
- Coordinate diaries and confirm appointments with customers.
- Prepare and send quotations using information supplied by the sales and operations teams.
- Follow up on outstanding quotations and maintain regular contact with prospective customers.
- Update customers throughout the enquiry, quotation and booking process.
- Maintain accurate customer, enquiry and project records.
- Track each opportunity from initial contact through to confirmation or closure.
- Liaise with the installation and operations teams to check availability and support scheduling.
- Ensure confirmed bookings are handed over with complete and accurate information.
- Process customer documentation, purchase orders and booking confirmations.
- Assist with invoices, deposits and payment follow-ups where required.
- Keep email inboxes, calendars and administrative systems organised.
- Produce basic reports on enquiries, quotations, bookings and conversion rates.
- Identify opportunities for repeat business and additional services.
- Provide general administrative support to the wider team when needed.

Skills and Experience
Essential
- Previous experience in sales administration, customer service, office administration or a similar role.
- Strong written and verbal communication skills.
- A friendly, confident and professional telephone manner.
- Excellent organisation and attention to detail.
- Ability to manage several enquiries, deadlines and appointments at once.
- Confidence using email, calendars, spreadsheets and standard office software.
- A proactive approach to following up enquiries and completing tasks.
- Ability to work independently and as part of a small team.
- A dependable and customer-focused attitude.

Desirable
- Experience working in events, staging, construction, hire services or a related industry.
- Experience preparing quotations or supporting a sales pipeline.
- Familiarity with customer relationship management or job-management software.
- Experience coordinating site visits, installations or field-based teams.
- A full UK driving licence.

You will be approachable, calm under pressure and naturally organised. You will understand that a quick, helpful response can make the difference between winning and losing a booking. You will take ownership of enquiries, follow through on commitments and make sure that both customers and colleagues have the information they need.
