Sales Administrator

Location: North London
Salary: £28,000–£30,000
Working Hours: Monday to Friday, 40 hours per week
Contract: Permanent

The Opportunity

We are recruiting a Sales Administrator to join an established and growing digital signage and audio-visual technology business based in North London. The business designs, supplies, installs, and supports digital signage, AV, EPOS, and operational technology for major hospitality, food and beverage, contract catering, and stadium venues across the UK.

Working closely with the Sales and Marketing Director and Account Managers, you will support the administration and coordination of the sales process, ensuring quotations are followed up, orders are processed accurately, and successful projects are handed over smoothly to the operations and installation teams.

This is a varied, client-facing administration role suited to someone who is organised, proactive, and commercially minded. You will have regular contact with customers, helping progress quotations and orders through to completion.

Key Responsibilities

Sales Administration & Quotations

  • Prepare accurate quotations and pricing schedules for digital signage, AV, and EPOS projects using established templates, supplier price lists, and information from Account Managers.
  • Request and verify supplier pricing, stock availability, and lead times for equipment, including displays, media players, mounts, and audio systems.
  • Ensure quotations are accurate, commercially appropriate, and issued in a timely manner.

Client Follow-Up & Pipeline Management

  • Proactively follow up quotations with clients and prospects to establish progress, address queries, and help convert opportunities into orders.
  • Maintain an accurate and up-to-date contract catering sales pipeline.
  • Monitor outstanding quotations and ensure agreed next actions are completed.

Order Processing & Project Handover

  • Raise sales orders and purchase order requests, following up on outstanding purchase orders where required.
  • Check that pricing, margins, delivery details, and order information match the agreed quotation.
  • Ensure all successful projects are handed over to the operations and installation teams with complete and accurate documentation.

CRM, Data & Reporting

  • Maintain accurate CRM records and project boards, including contacts, opportunities, sales stages, values, and next actions.
  • Log enquiries, calls, emails, and other client interactions to provide the wider team with a clear view of account activity.
  • Produce weekly reports covering pipeline performance, quotation conversion, and sales activity for the Sales and Marketing Director.

Customer Service & Sales Support

  • Respond promptly and professionally to client and internal enquiries relating to quotations, orders, and delivery schedules.
  • Communicate with customers by telephone, email, and Microsoft Teams.
  • Coordinate meetings, site surveys, and product demonstrations for the sales team.

Tender & Marketing Support

  • Assist with tender and framework submissions by gathering case studies, certifications, and compliance documentation.
  • Support trade shows and marketing campaigns through lead-list uploads, event registrations, and updates to marketing materials.

About You

We are looking for someone with excellent organizational skills, strong attention to detail, and the confidence to communicate professionally with customers and colleagues.

  • Excellent attention to detail, particularly when handling pricing, numerical information, and data entry.
  • Strong written and verbal communication skills, with a confident and professional telephone manner.
  • Good working knowledge of Microsoft 365, particularly Excel, Word, Outlook, and Teams.
  • The ability to manage multiple tasks, prioritize workloads, and meet deadlines in a busy environment.
  • A proactive, positive attitude and a willingness to take ownership of tasks and follow them through to completion.
  • Curiosity and enthusiasm for learning about new products, technology, and commercial processes.

Desirable Experience

  • Previous experience in sales administration, order processing, customer service, or general office administration.
  • Familiarity with CRM systems or work-management platforms such as HubSpot, Salesforce, or monday.com.
  • An interest in audiovisual technology, digital signage, hospitality, or related industries.
  • A qualification or apprenticeship in business, marketing, technology, or a related discipline.
