📍 Location: Full time at our Glasgow HQ (Hillington) with some hybrid flexibility

The Sales Admin Role

What this role will do

Are you the person who keeps everything in order while other people are busy chasing the next thing?

This is the admin engine behind two Senior Account Managers. There is no selling in this seat, but you will gain excellent exposure to sales with a progression pathway in this team.

Your week sits across our key client accounts: completing order forms, replying to finance queries and restock requests, building bespoke proposals on our internal platform for a Senior Account Manager to sign off, liaising with suppliers, shipping and logistics companies, and monitoring back of house stock levels alongside the Logistics team. You will sit in key account meetings as support, notetaker and oversight, and keep HubSpot hygienic after every call. When an Account Manager is out, you cover their accounts, using good judgement and getting approval from the Head of Sales before committing anything to a client.

The hardest part is how we navigate complex accounts. We're working with enterprise and hyper-scaler accounts with multiple economic buyers in different departments, different locations, different urgency levels and custom swag requests. There are a lot of fine details across finance, logistics and the full 360 process. Therefore, you should be highly organised and systematic in your approach.

Essential Skills

  • Highly organised. You manage your own workload plus incoming requests from two Senior Account Managers, and you decide what gets done first when both need something at once. Show us a system you built to keep yourself straight, and a week where you held several competing deadlines without dropping one.
  • Attention to detail. Order forms, invoices, pricing and stock figures all pass through you, and a small error becomes an expensive one. Tell us about a mistake you caught before it reached a client, and the checks you run before anything goes out.
  • Calm under pressure. Things move quickly and people chase. We want to hear how you stayed level-headed when an urgent task landed on top of an existing client issue.
  • Excel literate and tech savvy. You should be comfortable in Excel and able to pick up new systems fast, because you will be coached on ours. Name the functions you have actually used and a system you learned quickly.
  • Confident, professional communicator. You will take notes in key account calls and write to clients and suppliers. Written work can be AI-assisted.

Desirable Skills

  • CRM experience, ideally HubSpot, so you are productive in the account record sooner.
  • Previous sales support, administration or client-facing work, which shortens the ramp.
  • Experience at a small scaling business or start-up, where processes are still being built.
  • Ambition to move into a sales seat. There is a defined route, though nobody here has taken it yet.
