Mission
The Sales Administrator provides comprehensive administrative and operational support to the Wholesale Sales Manager. The role is responsible for ensuring the smooth day-to-day management of wholesale accounts, stock administration, customer support, sales initiatives, and cross-functional coordination with Visual Merchandising, Operations, and Marketing teams.
This position offers an excellent opportunity for a commercially minded individual to develop their career within luxury wholesale sales. Initially focused on administration and customer support, the role is expected to evolve over time to include account visits, relationship management, and direct sales responsibilities.
Key Responsibilities
Wholesale Administration & Account Support
- Manage and maintain wholesale customer stock files and records.
- Prepare and process core range replenishment orders for wholesale partners.
- Monitor stock levels and support product allocation activities.
- Ensure customer information and reporting are accurate and up to date.
- Produce sales reports, presentations, and analysis for the Wholesale Sales Manager.
- Maintain organised records and documentation related to wholesale activities.
Customer Relationship Support
- Build and maintain professional relationships with wholesale customers.
- Respond promptly to customer enquiries and support requests.
- Assist in delivering a high level of customer service across all wholesale accounts.
- Support communication between customers and internal departments.

- Manage the UK Wholesale Ambassador Programme.
- Coordinate and maintain weekly WhatsApp communications with ambassadors.
- Track programme participation and engagement.
- Support the implementation of ambassador initiatives and campaigns.
Sales Incentives Administration
- Coordinate wholesale sales incentive programmes.
- Process incentive requests and required documentation.
- Monitor progress and follow up on outstanding actions.
- Prepare tracking reports and provide regular updates to management.
Events Support
- Assist with the planning and organisation of wholesale customer events.
- Prepare stock, materials, and supporting documentation for events.
- Support event logistics and coordination.
- Attend customer events when required, representing the company in a professional manner.
Cross-Functional Support
Visual Merchandising
- Provide administrative support to the Wholesale Visual Merchandising function.
- Assist with VM communications and distribution of materials to wholesale partners.
Marketing
- Support Wholesale Marketing activities and campaigns.
- Assist in maintaining and enhancing the brand's online presence within the wholesale channel.
- Coordinate the distribution of marketing materials and updates to wholesale partners.
Trade Fairs & Industry Events
- Attend trade fairs and industry events as required, including Watches and Wonders in Geneva.
- Support preparation, coordination, and follow-up activities related to exhibitions and customer meetings.

Education
- GCSEs (or equivalent) including English and Mathematics.
- A-levels (or equivalent) or vocational qualification in Business Administration, Sales, Marketing, Retail, or a related discipline.
Experience
- Previous experience in an administrative, sales support, customer service, or wholesale environment.
- Experience within luxury retail, wholesale, or premium brands.
- Experience working with stock management systems and sales reporting.
- Experience supporting events and client engagement activities.
Skills & Competencies
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Professional written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong interpersonal skills and ability to build relationships internally and externally.

IT Skills
- Strong Microsoft Office skills, particularly in Excel, Word and PowerPoint
