Role Details
This is a hybrid role with a minimum of 2 days per week in our Whitwell-on-the-Hill office. Tuesdays and Wednesdays are mandatory office days. Due to the beautiful remote location, access to your own transport is essential. This is a full-time position, however work life balance is important to us and so we are open to discussion on flexible working patterns (minimum 4 days per week).
Salary: £26,227.50 p.a.
Contract: Fixed term contract for 6 months
About the Role
We are looking for 3 administrators to join our sales team. You will play a key role in supporting the smooth and efficient administration of customer bookings throughout their lifecycle. This is a predominantly administration focused role responsible for maintaining accurate records, managing booking data, coordinating with suppliers, and ensuring all systems and documentation are updated correctly.

Working closely with both the Sales and Aftersales Consultants, the role ensures that all operational and administrative processes are completed accurately and within required timescales. The position is largely non-customer-facing and focuses on supplier liaison, CRM management, data integrity, and booking administration.
Key Responsibilities
- Accurately process and maintain booking records within internal reservation, CRM and operational systems.
- Enter customer, supplier and booking information into the system accurately.
- Update booking notes, documentation and records promptly following supplier responses or booking changes.
- Monitor workflow queues, administration tasks and shared inboxes to ensure deadlines are met.
- Process booking amendments, cancellations and administrative requests accurately and efficiently.
- Create, maintain and organise booking documentation throughout the customer journey.
- Conduct regular checks to ensure data accuracy across all systems.
- Maintain accurate customer and booking records within CRM platforms.
- Ensure all interactions, updates and booking activity are recorded correctly.
- Support data cleansing and ongoing maintenance of CRM databases.
- Assist with system reporting by extracting and validating booking and customer information.
- Monitor system exceptions, outstanding actions and incomplete records.
- Support process improvements to enhance data quality and operational efficiency.
- Act as a key administrative contact for hotels, transport providers, rail partners, airlines and other suppliers.
- Send booking requests and process supplier confirmations accurately.
- Follow up on outstanding responses, availability requests and booking confirmations.
- Resolve supplier administration issues by gathering information and coordinating internal actions.
- Ensure suppliers receive complete and accurate information to facilitate efficient processing.
- Maintain accurate supplier records, notes and documentation within company systems.
- Build and maintain positive working relationships with suppliers and operational partners.
- Support the management of booking workflows from confirmation through to travel documentation.
- Process booking documentation, travel information and operational paperwork within agreed timescales.
- Ensure all operational procedures are followed consistently and accurately.
- Support departmental projects and process improvement initiatives.
- Ensure high levels of accuracy across all administration activities.
- Conduct quality checks on booking records, supplier confirmations and customer documentation.
- Maintain compliance with company policies, procedures and data protection requirements.
- Identify administrative errors, inconsistencies or process gaps and take corrective action.
- Contribute to continuous improvement initiatives designed to enhance efficiency and accuracy.

- Experience working with CRM systems and database management.
- Ability to manage multiple tasks and priorities effectively.
- Strong organisational and time-management skills.
- Experience of liaising with suppliers, partners or third-party providers.
- Competent user of Microsoft Office applications, particularly Outlook, Excel and Word.
- Ability to follow processes and maintain accuracy in a fast-paced environment.
- Experience within the travel industry would be advantageous but is not essential.
- Highly organised and detail oriented.
