Sales & Marketing Team Coordinator, Prescription Division

Location: London

We are looking for an organised and proactive Sales & Marketing Team Coordinator to join our Prescription team in London.

This is a coordination and operational support role, providing administrative and process support across the Prescription Sales and Marketing teams. The role focuses on the efficient and compliant coordination of meetings, events, documentation, systems, approvals and financial administration to support business activities.

The successful candidate will be a strong communicator with excellent attention to detail, able to manage multiple priorities and work confidently with a wide range of internal and external stakeholders.

Key Responsibilities

  • Provide day-to-day coordination and administrative support across the Prescription Sales and Marketing teams.
  • Support congresses, national meetings, field meetings and other marketing activities, including HCP and event logistics.
  • Coordinate promotional and educational materials through Veeva PromoMats, supporting review, approval, renewal and withdrawal processes.
  • Act as a Compliance Champion, supporting adherence to internal SOPs, required training and relevant industry requirements.
  • Coordinate HCP and field meeting documentation, including meeting & sponsorship approval forms, contracts, sponsorship documentation, FMV/tiering assessments and approvals.
  • Maintain accurate meeting, contract and compliance records across Veeva, DocuSign, Teams and relevant internal repositories.
  • Coordinate customer requests, liaise with HCPs to ensure appropriate documentation is in place for internal approvals and manage order administration.
  • Support financial management of prescription projects by raising purchase orders, processing invoices, supporting supplier set-up and maintaining project/budget trackers and manage the timely payment of healthcare professions.
  • Manage queries and work collaboratively with Sales, Marketing, Medical, Compliance, Finance, suppliers and other key stakeholders.
  • Provide general team and office coordination, proactively identifying priorities and ensuring activities are completed accurately and on time.

Skills & Experience

  • Previous experience in a Sales, Marketing, Commercial or Business Coordinator role, ideally within the pharmaceutical, healthcare or another regulated industry.
  • Highly organised, with excellent attention to detail and the ability to work independently, take ownership of tasks, and effectively manage multiple activities and deadlines.
  • Proactive, solution-focused and comfortable taking ownership of tasks through to completion.
  • Strong communication and stakeholder management skills across all functions.
  • Confident using Microsoft Office, including Excel, PowerPoint, Outlook and Teams.
  • Experience with systems such as Veeva PromoMats, Coupa, Candex and DocuSign would be advantageous.
  • Knowledge of the ABPI Code and pharmaceutical compliance processes would be desirable.
  • A degree in Business, Marketing or a related discipline would be advantageous but is not essential.
