Role Purpose
To provide administrative support across the Sales, Operations, and Customer Service functions of the business, ensuring the efficient day-to-day running of business activities.
Key Responsibilities
The Sales & Operations Administrator will support customer enquiries, sales administration, logistics coordination, warehouse administration, operational reporting, and general office functions. The role requires close collaboration with all departments to ensure customer requirements are met, business processes are followed, and administrative activities are completed accurately and efficiently.
All work is to be carried out in accordance with the organisation's Integrated Management Systems and Health & Safety procedures.
Duties and Responsibilities
Customer Service and Customer Support
- Answer incoming telephone calls and emails, dealing with customer enquiries in a professional and timely manner.
- Support customer sales and hire enquiries.
- Provide direct customer liaison and support.
- Support customer pairing issues via telephone, Microsoft Teams, or email.
- Process customer payments in accordance with company procedures.
- Always maintain a high standard of professionalism and customer care.
- Escalate customer concerns where necessary to the appropriate department.
Sales Administration
- Prepare and process quotations, sales orders, and hire orders.
- Produce on-hire reports and other sales-related reports as required.
- Maintain accurate customer records and ensure CRM systems are updated and maintained.
- Support sales administration activities as directed by management.
- Process customer follow-up communications.
- Maintain contact databases and reporting systems.
- Support marketing and business development activities as required.

Operations, Warehouse and Logistics Administration
- Receive and log incoming goods, including electronic processing of sales returns.
- Check and dispatch outgoing orders and purchase returns.
- Arrange courier collections, deliveries, and returns for UK & International.
- International Shipping.
- Handle the dispatch and return of rental equipment, ensuring accurate updates within company systems.
- Check, clean, and log rental products.
- Pick, pack, and prepare outgoing customer orders.
- Assist with the configuration of products and systems for sale or rental dispatch where required.
- Highlight shortages of warehouse consumables and operational supplies.
- Carry out stock takes and inventory checks as directed.
Personal Responsibilities
- Ensure products are correctly labelled and stored in designated locations.
- Be fully aware of personal workload and priorities, ensuring deadlines are achieved.
- Manage time effectively and report any constraints affecting performance or delivery.
- Maintain a high standard of housekeeping within work areas.
- Support the continuous improvement of systems, processes, and working practices.
- Ensure compliance with all company policies, procedures, and processes.
- Support other departments as required by business needs.
- Maintain confidentiality of company and customer information.

Required Skills and Experience
Essential
- Excellent telephone and communication skills.
- Strong customer service and customer liaison abilities.
- Good IT, administration, and data entry skills.
- Good standard of English and Mathematics.
- Excellent organisational and time management skills.
- Ability to prioritise workload and meet deadlines.
- High attention to detail and accuracy.
- Ability to multitask and work effectively across different departments.
- Professional and positive approach to work.
- Ability to work independently and as part of a team.
Desirable
- Experience within sales administration, warehouse administration, logistics, or operations support.
- Experience using CRM systems and business software.
- Experience working within a customer-focused environment.
- Knowledge of ISO 9001 & 14001 management systems.

In addition to the duties detailed above, the post holder may be required to undertake additional or alternative duties, appropriate to the level of the role, as reasonably required to meet the needs of the business.
