We're looking for an organized, energetic, and hospitality-driven Sales Coordinator to become an integral part of our Sales & Marketing team. This position is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, pays close attention to detail, and takes pride in helping create seamless experiences for both our guests and our team.
As the Sales Coordinator, you'll serve as the operational backbone of the sales department, partnering closely with the Director of Sales & Marketing, Sales Managers, Event Planning Managers, and hotel leadership. From supporting weddings and corporate events to assisting with marketing initiatives and ensuring every detail is executed flawlessly, no two days are ever the same.

What You'll Do
As our Sales Coordinator, you'll play a vital role in supporting the daily success of the Sales & Marketing Department by:
Sales & Guest Experience
- Serve as the first point of contact for incoming sales inquiries, qualifying leads and connecting guests with the appropriate Sales Manager.
- Create a welcoming first impression for prospective clients while building excitement for their upcoming experience at The Elms.
- Assist with contracts, proposals, banquet event orders, estimates, rooming lists, and client correspondence.
- Coordinate guest amenities and VIP arrivals to ensure personalized experiences.
- Assist with group reservations and accurately enter rooming lists for upcoming groups.
- Support the sales team during weddings, meetings, and special events as needed.
Sales Operations
- Provide direct administrative support to the Director of Sales & Marketing.
- Utilize the sales system daily to maintain accurate client information, bookings, and reporting.
- Audit contracts, turnovers, group resumes, and upcoming arrivals to ensure accuracy and seamless execution.
- Update the sales system following events, including actualized revenue and event details.
- Prepare weekly and monthly sales reports, lead recaps, pace updates, and departmental reporting.
- Coordinate sales kits, collateral, office supplies, and departmental organization.
- Oversee the hotel's charitable donation request process.

Marketing Support
- Assist with marketing initiatives and special promotions alongside the marketing team.
- Help coordinate creative materials, collateral, and promotional campaigns.
- Maintain updated sales collateral and digital marketing resources.
Collaboration
- Represent the Sales Department in internal meetings and collaborate closely with Operations, Food & Beverage, Spa, Front Office, Revenue Management, and Executive Leadership.
- Help ensure seamless communication between departments before, during, and after group events.

- Proficient with Microsoft Office and eager to learn hotel sales systems.
- Previous hotel, resort, event, or hospitality experience is preferred but not required.

Compensation:
$23.00 - $26.00
