Sales Coordinator

Salary: £35,000

Location: Glasgow – hybrid, 3 days per week in the office

Employment type: Full-time

Reporting to: CEO

About Navitas Safety

Navitas Safety is a growing technology business helping multi-site organisations improve food safety, compliance, and operational consistency.

Our platform brings together digital monitoring, audits, incident reporting, risk assessments, training, and operational compliance, giving customers greater visibility and control across their estates.

We work with major organisations across hospitality, foodservice, retail, care, and leisure, and we are now looking for a Sales & Commercial Coordinator to help strengthen the commercial engine behind our next phase of growth.

The Role

This is a varied role combining sales administration, CRM ownership, and customer-facing commercial support.

  • You will sit at the centre of our sales process, making sure opportunities are properly managed, proposals and contracts are progressed, and customers move smoothly from enquiry through to signed agreement and implementation.
  • You will also have the opportunity to manage straightforward inbound sales opportunities yourself — conducting discovery calls, delivering product demonstrations, and progressing smaller deals through to close.
  • There is no cold-calling requirement.

We are not looking for a traditional hard-sales personality. We are looking for someone who is commercially confident, highly organised, and enjoys making sure things actually get done.

What You’ll Be Responsible For

CRM & Pipeline Management

You will help make HubSpot the reliable source of truth for our commercial activity.

  • Maintain accurate records for all live sales opportunities
  • Ensure opportunities have clear stages, values, owners, and next actions
  • Chase outstanding actions and follow up internally where opportunities have stalled
  • Maintain pipeline reports and commercial dashboards
  • Support regular pipeline and forecasting meetings
  • Help improve CRM processes, templates, and reporting

Customer Discovery & Small Opportunities

You will manage straightforward inbound opportunities within agreed commercial parameters.

  • Responding to and qualifying inbound sales enquiries
  • Conducting initial discovery calls
  • Understanding customer requirements, pain points, and timescales
  • Delivering standard Navitas product demonstrations following training
  • Managing smaller opportunities through proposal and close
  • Following up prospects and maintaining clear next steps
  • Escalating larger or strategically important opportunities to the CEO or appropriate commercial owner

You will typically be able to manage straightforward opportunities worth up to approximately £500 MRR independently.

Proposals & Commercial Documentation

You will take responsibility for producing accurate and professional customer-facing documentation.

  • Preparing commercial proposals and quotations
  • Producing pricing schedules and order documentation
  • Maintaining proposal templates and standard commercial content
  • Supporting supplier questionnaires and requests for information
  • Supporting tender and procurement submissions alongside Marketing
  • Preparing customer presentations and commercial briefing documents

Contract Coordination

Once a customer decides to proceed, you will help move the opportunity efficiently through the contracting process.

  • Prepare contracts using approved templates
  • Track reviews, amendments, and outstanding actions
  • Coordinate procurement, legal, and information-security questions with the relevant teams
  • Progress contracts through signature and purchase-order stages
  • Identify and escalate anything preventing a deal from completing

You will not be expected to provide legal advice — your role is to keep the process organised and moving.

  • Previous experience using HubSpot
  • Experience managing sales enquiries or opportunities
  • Experience preparing proposals, quotations, or contracts
  • Experience working in hospitality, foodservice, or another operational environment
  • Experience supporting B2B customers
  • Experience coordinating multiple internal teams to deliver a customer outcome

  • New customers arrive with Delivery and Account Management properly briefed
  • The CEO and wider commercial team spend less time chasing administration and more time progressing growth
