Job Description – Sales & Events Coordinator

Glaziers Hall is a historic Livery Hall and events venue situated on the Southbank by London Bridge. Whilst the building dates back to 1809 the venue has recently been refurbished and is now a perfect blend of historic yet modern across our seven event spaces. Recent events have included corporate conferences, AGM’s and symposia, boxing press conferences, candlelight classical concerts, livery dinners, weddings and private events, location filming and Christmas parties.

As a Sales and Events Coordinator you will be the first point of contact for our event clients. Working as part of a small team, your key tasks will be converting enquiries into sales, developing further sales from existing clients and planning events effectively so that the Operations team have everything they need to deliver amazing experiences for our clients.

Duties & Responsibilities

Broadly speaking the role can be split into two main parts; Sales and Event Planning. The core duties and responsibilities for each are detailed below.

Sales

  • Respond to inbound emails and phone enquiries with the aim of converting those enquiries into sales.
  • Monitor listing sites and respond to clients via those systems.
  • Assist in creating detailed proposals to aid with sales conversion.
  • Ensure all information relating to a client/event is inputted into our CRM system (iVvy).
  • Maintain and develop relationships with existing clients in order to convert additional sales.
  • Conduct site visits with prospective and confirmed clients highlighting the key features and benefits of the venue.
  • Represent the company at trade exhibitions and events.
  • Post event calls within a specific time frame to optimise repeat business.

Event Planning

  • Liaise with clients once bookings have confirmed to refine details and create BEO’s (event sheets) via our sales and catering system (iVvy).
  • Liaise with third party suppliers such as caterers and AV production to confirm required services.
  • Hold regular meetings with the Operations team to run through the details of upcoming events.
  • Meet with your clients on event dates.

Skills Required

  • The ability and desire to sell.
  • Excellent communication skills.
  • A positive, confident and determined approach to sales.
  • A high degree of self motivation and ambition.
  • Attention to detail.
  • The ability to multitask and plan workload/priorities effectively.
  • The ability to work both independently and as part of a team.

Knowledge & Understanding

  • A good knowledge of and passion for the events industry.
  • Competent in Microsoft Office applications.
  • Excellent written and spoken English.
  • iVvy experience desirable but not essential as full training will be provided.

Salary & Benefits

We offer a salary from £29,000 which is reviewed annually. Our attractive benefits package includes:
