Job Purpose & Key Responsibilities

To support CMI’s Financial Control department in the accurate invoicing of sales contracts, ensuring that customer accounts are appropriately maintained and in compliance with contractual terms, obtaining purchase orders, collecting cash and ensuring it is allocated correctly to accounts.

To ensure the timely collection of cash from CMI’s partners.

To deliver personal and team objectives in line with the wider aims and objectives of the department, directorate and CMI.

To be a credible ambassador for CMI, role model of CMI values and its professional code of conduct.

To ensure that all CMI resources are utilised effectively and responsibly through a culture of continued improvement which delivers value for money and quality service standards.

Objectives

Transactional processing

  • Process sales contracts in the invoicing system (Merlin/JustOn) and Salesforce.
  • Invoice sales accurately and on a timely basis, and to raise credit notes as appropriate.
  • Ensure that sales ledger accounts in the invoicing system (Merlin/JustOn) are up to date, complete and accurate.
  • First point of contact to manage inbound customer queries.

Cash collection

  • Obtain purchase orders for services provided under contract.
  • Collect cash.
  • Ensure cash is allocated to the correct invoices and contracts.

Accounting

  • Provide support to the management and financial reporting accountants in accounting of transactions in Access Dimensions.

Financial controls

  • Ensure that financial controls over transactional processes are operating effectively.
  • Reconciliation of transactions to account statements.
  • Undertake account maintenance reviews.

Business information

  • Provide information to the Head of Financial Control, management and financial accountants, performance analyst and other teams.
  • Develop informative reports and insight for the Head of Financial Control.

CMI Resources

  • To comply with internal and statutory procedures relating to finance, IT, the environment, equipment and health and safety.
  • To securely hold and maintain CMI data in support of our business and customers in compliance with our policy, legislation and best practice.
  • To ensure that any issue that could affect your performance, health and safety, motivation and engagement are brought to your line manager’s attention.

Success Criteria

  • Invoicing is correct the first time, and accounts in Merlin/JustOn, Salesforce and Access Dimensions complete and accurate.
  • Cash collection in line with targets.
  • Self-development and ongoing personal development.
