Job Title: Sales & Lettings Receptionist & Sales Co-ordinator

Reports To: Head of Residential

Department/Area: Sales

Direct Reports: None

Salary:

Type: Full-time – Permanent

Hours: Monday to Friday, 8.30am to 5pm

Location: BPS Offices

Primary Purpose

The role provides full reception and administrative support for the Sales & Lettings Suite and Sales Team. Ensuring an efficient and effective administrative service for the Head of Residential and Sales Directors and providing an excellent service to customers, in person, via telephone or email.

Key Responsibilities

Reception & Venue Management

  • Meeting and greeting customers, buyers, residents, tenants, landlords and members of the public.
  • Ensuring all appointments/walk-ins are offered refreshments upon arrival.
  • Management of the sales and marketing suite as a venue ensuring strict diary management amongst various teams who use the space.
  • Maintaining high standards in terms of overall presentation of the marketing suite.
  • Coordinating the use of meeting rooms within the marketing suite to ensure effective use and no appointment clashes.
  • Organise catering and refreshments.
  • Rooms should be cleared immediately after use ready for next meeting.
  • Management of sales suite IT, including the models and interactives and troubleshooting any issues with IT

PA & Administration Support

  • Diary management, filing, data management.
  • Complete expenses in accordance with specified time scales and company formats.
  • Manage hotel bookings and flights in accordance with schedules and budgets.
  • Generally, offer a professional/proactive administration and secretarial support to the Head of Residential, Sales Directors and where required to the Sales team that is efficient and effective.
  • Assist other members of the leadership team and staff generally when secretarial support is not available to them.
  • Manages invoicing
  • Administration of UK and international introducers
  • Support for the organisation of any sales or lettings events
  • Working closely with other departments

Skills and Experience

  • Experience of working as a Front of House and Team Assistant ideally in the Property Development/Construction or Sales Sector
  • Experience of managing highly confidential communication/diary management
  • Outlook, word and excel- highly proficient
  • Excellent interpersonal skills
  • Excellent attention to detail
  • Ability to work under pressure with accuracy under tight timeframes
  • Excellent organisational skills
  • Ability to use initiative under pressure
