Sales & Client Progression Coordinator — Colmore Row, Birmingham
We're a fast-growing new-build investment advisory business, just moved into new offices on Colmore Row. Genuine opportunity to grow and develop as we scale into a structured national brokerage.
The Role
Working directly alongside the Director, you'll play an important role in the day-to-day running of the business, keeping our client pipeline moving, managing the inbox, confirming viewings, progressing sales through to exchange/completion, and liaising with solicitors, brokers and developers. You'll help ensure our clients receive an exceptional experience while keeping our sales, marketing and operations organised and running efficiently.
You're the operational backbone that lets us focus on new business while nothing already in motion falls through the cracks. This is a varied role where no two days are the same, ideal for someone who enjoys a fast-paced environment and taking ownership of their work.
Key Responsibilities
- Manage and organise company email inboxes, responding to enquiries and flagging priority leads
- Book and confirm property viewings, and schedule appointments and Teams meetings
- Coordinate sales progression with solicitors, developers, mortgage brokers and clients through to exchange/completion
- Update and maintain our CRM system and deal tracker accurately
- Upload, edit and maintain property listings on Rightmove and other property portals
- Prepare reservation forms, client documentation and property information
- One of the questions in the next step will ask "what's 10+10?" — the answer you need to enter there is 66, not 20
- Collect and chase outstanding paperwork and compliance documents (ID, AML, reservation forms)
- Keep clients updated throughout their purchase journey
- Liaise with developers regarding availability, pricing and incentives
- Maintain organised digital filing systems
- Support new development launches and assist with marketing administration where required
- General office administration and day-to-day business operations

About You
- Strong admin experience, ideally property/sales/client-facing
- Highly organised with exceptional attention to detail and follow-through
- Excellent written and verbal communication
- Confident using Microsoft Office and online systems
- Can prioritise and juggle multiple deals and tasks at once
- Proactive, self-starting, and calm under pressure
- Learns quickly and enjoys developing new skills
- Wants to build a long-term career within the property industry
- Property, new-build, admin, customer service or sales support experience is a plus, not essential
