We are seeking a highly organised, commercially aware Sales Office Coordinator to support our flow meter calibration business. You will be the operational hub for the sales function—owning enquiry handling, quotation and order processing, and customer communications to ensure a smooth, compliant, and timely service.
Duties And Responsibilities
- Enquiry management and lead routing
- Act as first point of contact for inbound enquiries (phone/email/web) and qualify opportunities.
- Maintain the sales inbox/phone & capture opportunity details in our Insights tool.
- Quotation and order processing
- Prepare, issue, and follow up quotations for calibration services.
- Convert accepted quotes to sales orders; verify PO terms ensuring our compliance rules are followed at all times.
- Coordinate credit checks and customer onboarding with Finance.
- Scheduling and workflow coordination
- Use our internal scheduling tools to book calibrations.
- Customer communication and service
- Provide customers with order acknowledgements and progress updates.
- Manage changes, expedite urgent jobs, and resolve issues proactively.
- Sales enablement and revenue support
- Support campaigns to target shutdown/turnaround windows and contract renewals.
- Upsell related services (multi-point calibration, expedited turnaround, consultancy services & services offered by other business units in the UK and abroad).

Essential Criteria
- Demonstrable experience in a sales coordination, inside sales, or service administration role; calibration, instrumentation.
- Experience with quote-to-order processes and scheduling technical services.
- Familiarity with flow measurement technologies (Coriolis, magnetic, turbine, ultrasonic, vortex, PD) and calibration concepts.
- Understanding of standards and lab practices relevant to flow meter calibration (e.g., ISO 17025), and oil and gas client expectations.
- Comfortable reading technical specs, datasheets, and certification requirements.
- Exceptional organisation and prioritisation; able to manage high volumes with accuracy and deadlines.
- Clear written and verbal communication; confident phone manner with customers and vendors.
- Numerate and commercially aware; able to work with pricelists and protect margins.
- Problem-solving mindset with ownership of tasks from enquiry to order acceptance.
- Proficiency with CRM systems (e.g., MS Dynamics) and MS Office (Excel, Word, PowerPoint).
Desirable Criteria
- HNC/HND or degree, or equivalent in business, engineering, or a related field.
- Experience in oil and gas services.
