About the Role

All Pump Solutions (APS) is looking for an organised and proactive Sales & Operations Assistant to support our sales, operations, and business development activities.

This is a varied role that combines project coordination, CRM management, follow-up tracking, sales administration, and marketing support. You'll play a key part in keeping projects, orders, and sales activities moving forward while ensuring data and processes are maintained to a high standard.

Key Responsibilities

Order Processing & Operations Support

  • Monitor order processing to ensure procedures are followed correctly
  • Coordinate between sales, operations, and other departments for smooth project handovers
  • Maintain project trackers and highlight any delays or issues
  • Support coordination of internal operations meetings

Follow-Up Management

  • Track actions across sales, operations, business development, and marketing
  • Maintain follow-up logs and monitor overdue actions
  • Liaise with customers, suppliers, and internal teams to obtain updates, approvals, and responses
  • Provide regular progress updates to management

Business Development Support

  • Coordinate meetings and prepare materials
  • Track leads and opportunities
  • Maintain records of business development activity and actions

Sales & CRM Administration

  • Maintain Pipedrive CRM data and pipeline accuracy
  • Prepare sales presentations and supporting documents
  • Assist the sales team with proposal formatting and follow-up scheduling
  • Follow up opportunities to keep them progressing through the pipeline

Marketing Administration

  • Coordinate marketing activities and content schedules
  • Support document and brand consistency
  • Liaise with external marketing suppliers and freelancers

Document Control

  • Maintain filing and version control systems
  • Ensure documents are managed in line with company procedures

  • βœ… Administrative or coordination experience
  • βœ… Comfortable using CRM systems, Microsoft 365, and project tracking tools
  • βœ… Excellent attention to detail
  • βœ… Strong communication and organisational skills
  • βœ… Ability to prioritise and manage multiple tasks
  • βœ… Confident using the phone
  • βœ… A proactive approach to following up and driving actions to completion

Desirable

  • ⭐ Experience with Pipedrive or similar CRM systems
  • ⭐ Experience with Smartsheet or project management tools
  • ⭐ Experience producing sales or marketing materials
  • ⭐ Ambition to develop into a more senior coordination or Executive Assistant role
