Sales Operations Exec

As a Sales Operations Exec, you will play a central role in supporting the commercial function of the Group Managing Director and ensure he operates as efficiently as possible. Your role will involve organising commercial data, identifying and prioritising commercial opportunities, and organising and scheduling outbound client communication.

Description

Key Responsibilities

  • Lead Management

    • Proactively research and prepare client and contact lists generated from MD's email, referrals.
    • Prepare comms and outreach schedule to ensure they are consistent, structured and tailored.
    • Build and maintain target account and prospect lists.
    • Support the identification of new commercial opportunities across target sectors.
  • Outreach Coordination

    • Develop and manage outreach schedules for Group Managing Director.
    • Coordinate email, telephone and LinkedIn follow-up activity.
    • Ensure leads are contacted within agreed timescales.
    • Track engagement and follow-up actions through HubSpot.
    • Monitor campaign and outreach performance.
    • Prepare client briefing notes ahead of meetings, including company background, recent news, key stakeholders, existing relationships and potential opportunities.

  • Sales Support

    • Support the Group Managing Director with commercial administration and reporting.
    • Prepare sales documentation, presentations and meeting materials.
    • Assist in maintaining sales pipelines and opportunity tracking.
    • Coordinate internal meetings and sales activity planning sessions.
    • Support bid, proposal and RFP administration when required.
  • Process Improvement

    • Continually identify opportunities to improve sales processes and efficiency.
    • Develop and maintain best-practice procedures within HubSpot.
    • Create and maintain documentation for sales workflows and processes.
    • Help drive adoption of CRM processes across the commercial team.
  • CRM & Data Management

    • Own and maintain the quality, accuracy and organisation of sales data within HubSpot.
    • Manage prospect, client and opportunity records.
    • Ensure CRM information is up to date, complete and properly segmented.
    • Identify gaps, inconsistencies and opportunities to improve data quality.
    • Produce reports and dashboards to support sales activity and decision-making.
    • Support the ongoing development of HubSpot AI tools, workflows, automations and AI agents to continually improve the effectiveness and efficiency of the sales process.

Profile

The successful Sales Operations Exec will be highly organised, detail-oriented and enjoy bringing structure to fast-paced environments. You are proactive, self-motivated and capable of managing multiple priorities simultaneously.

You possess the following attributes:

  • Previous experience in a Sales Administrator, Sales Operations, CRM Administrator or Commercial Support role. Candidates from a PA/EA background also considered.
  • Strong HubSpot experience is an asset.
  • Exceptional organisational and administrative skills.
  • High attention to detail and accuracy.
  • Proactive with the confidence to take ownership of tasks and suggest improvements.
  • Strong analytical and problem-solving abilities.
  • Experience managing and maintaining CRM databases.
  • Ability to coordinate multiple projects and deadlines simultaneously.
  • Excellent verbal and written communication skills.
  • Strong Microsoft Office skills, particularly Excel and PowerPoint.
  • Comfortable interpreting sales data and creating reports.
  • Positive, enthusiastic and collaborative approach.
  • Able to work independently and use initiative.
  • Experience supporting a B2B sales team would be advantageous.
  • Events industry experience is not required.

Job Offer

  • £35,000 - £45,000 salary depending on experience.
