Job Title: Sales Support Administrator
Location: Wildflower Way, Belfast, BT12 6TA
Contract Type: Permanent
Hours: Full-time, Monday to Friday (typically 9am – 5pm)
Reports to: Operations Manager
Role Overview
Hospital Services Limited (“HSL”) is a successful supplier of bespoke patient care services and the best-in-class healthcare technologies and consumables. We have supported healthcare professionals across Ireland and the UK for over 60 years, and have a team of friendly, established professionals at the forefront of their fields. We are looking for an ambitious, driven Sales Support Administrator to join our Belfast team.
Job Responsibilities
- Managing customer orders and recording backorders accurately through the sales inbox
- Overseeing the sales inbox, handling customer queries and sales orders, and allocating enquiries to the relevant department/person
- Handling customer enquiries via telephone and providing comprehensive support across a range of areas including POD requests, invoicing, lead time enquiries, credit notes, product collection and delivery notes, raising non-stock POs, and pricing or margin queries
- Handling accounts-related queries and liaising with the relevant departments to ensure timely resolution
- Overseeing backorder management for consumables and capital equipment across multiple warehouse locations
- Preparing accurate quotations direct to customers within required timescales.
- Processing and managing HealthTech capital orders, including invoicing upon installation completion
- Assisting with stock takes and resolving any queries arising from stock count discrepancies
- Providing administrative and customer support to the sales team, including preparing quotations, liaising with customers, and arranging product samples.

Essential Skills & Experience

- 2+ years’ experience in sales support, customer service, or administration
- Business Administration qualification (desirable but not essential)
- Excellent attention to detail and strong numerical skills, with a comfort working with spreadsheets and pricing data
- Proficiency in Microsoft Office Suite, particularly Excel and Word
- Experience with ERP or accounting systems (e.g. SAGE, Microsoft Business Central) an advantage
- Accurate data entry, record-keeping, and order/invoice processing skills
- Highly organised with strong communication skills and the ability to manage multiple priorities to deadlines
- Experience in the healthcare, medical device, or a similarly regulated sector is an advantage but not essential
