Sales Operations & Candidate Support
Our office is based in Richmond, just 8 minutes from Clapham Junction.
Great sales teams need great support behind them. At Ellis Group, we’re continuing to grow our recruitment business and are looking for an organised, proactive and systems-savvy Sales Support Administrator to join our team.
This is a varied role sitting at the heart of our Sales operation, helping our consultants work efficiently while ensuring candidates, contractors, systems and processes are kept running smoothly.
You will work closely with Sales, Finance, Compliance and Operations, becoming a key part of the infrastructure that supports our recruitment teams. Sales & Candidate Support
You will provide hands-on support to our recruitment consultants throughout the candidate and contractor lifecycle, including:
- Uploading, maintaining and updating candidate records and CVs within Bullhorn ATS/CRM.
- Formatting CVs to a professional, client-ready standard.
- Supporting candidate communications, including availability, rates and follow-ups.
- Distributing candidate applications to the appropriate consultants.
- Assisting consultants with candidate and client submissions.
- Providing day-to-day administrative support to the Sales team.
- Making sure CRM records and candidate information remain accurate, complete and up to date.
Bullhorn & Systems
Our systems are central to how we operate, and you’ll help us get the most from them.
You will:
- Maintain accurate candidate, placement and contractor records within Bullhorn.
- Support CRM workflows, automations and data quality.
- Act as a first point of contact for day-to-day Bullhorn queries.
- Spot opportunities to make our systems and processes simpler and more efficient.
- Help ensure our teams are following consistent processes and maintaining high-quality data.

Contractor & Compliance Support
You will also support the contractor journey, working alongside our Compliance, Finance and Sales teams.
This will include:
- Supporting contractor onboarding, contract extensions and offboarding.
- Assisting with compliance administration and documentation.
- Ensuring records are accurate, appropriately maintained and handled in line with GDPR and company standards.
- Liaising with Sales, Finance and Compliance to help ensure contractors are processed efficiently.
- Helping make the transition from candidate to contractor as smooth as possible.
Finance & Timesheet Support
You will provide administrative support around our contractor and finance processes, including:
- Assisting with timesheet administration and chasing outstanding approvals.
- Maintaining accurate billing and contractor payment information.
- Helping coordinate payroll and invoicing queries with the relevant teams.
- Ensuring important information is captured correctly within our systems.
Wider Business Support
No two days will necessarily look the same. Alongside Sales Support, you’ll provide wider administrative support across the business, including:
- General office and business administration.
- Ordering office equipment, stationery and supplies.
- Arranging travel and hotel bookings.
- Supporting departmental managers with meetings, surveys and reporting.
- Assisting with internal projects and initiatives.
- Providing ad-hoc administrative support across areas such as Marketing, and Operations when required.
We are looking for someone who is naturally organised, proactive and detail-focused, with the confidence to work across different teams and priorities.

You will ideally have:
- Previous experience within recruitment, sales support or business/office administration.
- Experience using Bullhorn ATS/CRM or a similar CRM or recruitment system.
- Strong Microsoft Office skills, particularly Word, Excel and Outlook.
- Excellent organisational skills and attention to detail.
- The ability to manage multiple priorities in a fast-paced environment.
- Professional written and verbal communication skills.
- A proactive mindset where you are comfortable spotting what needs doing and getting on with it.
- The confidence to work with systems, data and processes.
- The ability to handle confidential and sensitive information with discretion.
